Job summary

VSE Ireland is looking for a Materials Manager - Administration to oversee stores and purchasing activities at Shannon. The role involves managing RFQs, tooling PO processes, and ensuring MOE storage facilities meet QA standards.

The successful candidate will coordinate with QA, maintain supplier performance, and ensure proper handling of aircraft spares in line with EASA 145 regulations. A strong focus on process improvement and training is required.

Qualifications

  • Certificate level in a relevant discipline or 2 years direct experience in an aviation spares discipline.
  • Must be conversant with EASA 145 Regulations regarding the acceptance, storage and handling of all types of Aircraft spares.
  • Must be computer literate and familiar with Microsoft Office with emphasis on Excel.
  • Possess good communication skills.
  • Hold a full clean driver’s licence.
  • Experience purchasing aircraft material.

Responsibilities

  • Oversee the stores and purchasing departments under the manager’s control, ensuring policy and procedures are followed.
  • Ensure personnel training and competency are up to date.
  • Manage RFQ process for procurement of parts, quotes, approvals, purchases and invoicing.
  • Attend production meetings and report status of parts process to management.
  • Manage PO process for tooling parts, sub vendor and facility requests.
  • Ensure MOE storage facilities are compliant and liaise with QA for audits.
  • Address corrective actions from compliance audits under direction of the Maintenance Manager.
  • Assess suppliers and review Approved Vendor Register monthly; identify compliance issues.
  • Monitor supplier performance in cost and delivery for maximum service levels.
  • Oversee incoming inspection, storage, and classification of components and tools.

SUMMARY: The Materials Manager - Administration sourcing of parts, management of production requests, tooling checklists, calibrated tooling, shipping and receiving of goods and engines

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • The efficient and cost-effective operation of the stores and purchasing departments under the manager’s control, ensuring that company policy and procedures are adhered to.
  • Ensuring the management that all personnel training and competency is up to date.
  • Manage the RFQ process for the procurement of parts and its associated quotes / approvals/ purchases/Invoicing ensuring correct VSE markups per the GTA’s.
  • Daily attendance of the production meetings updating the management team of the overall status of parts process including daily reports as required to support.
  • Management of the PO process for tooling parts, sub vendor and facility requests.
  • Ensuring that the MOE policies in respect of storage facilities are implemented controlled and maintained and liaise with QA and authorities for audits as required.
  • Any corrective action required in activity for which he/she is responsible, resulting from Compliance monitoring audit findings, under the direction of the Maintenance Manager (Director of Operations)
  • Assessing suppliers of new and used components and materials and ensuring the monthly review of the Approved Vendor Register and identifying compliance issues with suppliers.
  • The monitoring of supplier’s performance in respect of cost and delivery/turnaround time to VSE Ireland receive maximum levels of service.
  • Ensuring the Incoming inspection of components, parts, materials, tools and equipment, the related classification, segregation and storage according to the manufacturer’s recommendations.
  • The maintenance of records related to shelf life, material, store’s location, batch numbers and approved certificates.
  • Responsible for communication on logistics, warehousing and customs requirements including support of the VSE field team parts and tooling.
  • Oversee the tooling process with regards to the calibration, purchasing, repairs, and on-going projects as directed by the MM.
  • Oversee the continuous review of the stores section of the ERP system to coordinate on going improvements, day to day operational needs and problem solving.
  • Other duties as assigned.

Other information
  • During periods of high volumes, you may be required to provide support to other areas of the business, and some travel will be expected notably between both Dublin and the Shannon Facility.
  • Occasional requirements to work additional hours beyond normal working hours to include weekends and holidays.
  • You will be expected to attend internal & external training courses.
