Qualifications

  • Experience with ERP systems and maintenance budgeting.

Responsibilities

  • Develop, plan, and schedule all preventive and predictive maintenance activities.
  • Create weekly, monthly, and annual maintenance schedules aligned with production requirements.
  • Coordinate maintenance shutdowns and planned outages to minimise operational disruption.
  • Prioritise maintenance work orders based on risk, criticality, and business requirements.
  • Ensure all maintenance activities are properly planned with labour, materials, tools, permits, and documentation available before execution.
  • Assist in CMMS setup, implementation, and continuous development; maintain hierarchies, asset registers, and routines.
  • Generate and distribute weekly and monthly maintenance performance reports; monitor KPIs.
  • Coordinate contractor activities and maintenance service providers; ensure compliance with safety policies.
  • Manage maintenance team availability and resource allocation; plan leave and training.
  • Support annual maintenance shutdowns and capital projects; track progress, costs, and milestones.
  • Identify opportunities for reliability improvements and standardise planning processes.

The Maintenance Planner / Scheduler is responsible for planning, coordinating, and scheduling all preventive, predictive, corrective, and project maintenance activities across the site. The role ensures maximum equipment reliability and availability through effective maintenance planning, CMMS management, contractor coordination, KPI reporting, and resource scheduling.

The successful candidate will play a key role in developing maintenance systems, driving continuous improvement, and supporting annual maintenance and capital projects.

Key Responsibilities
Maintenance Planning & Scheduling
  • Develop, plan, and schedule all preventive and predictive maintenance activities.
  • Create weekly, monthly, and annual maintenance schedules aligned with production requirements.
  • Coordinate maintenance shutdowns and planned outages to minimise operational disruption.
  • Prioritise maintenance work orders based on risk, criticality, and business requirements.
  • Ensure all maintenance activities are properly planned with labour, materials, tools, permits, and documentation available before execution.
CMMS Development & Administration
  • Assist in the setup, implementation, and continuous development of the Computerised Maintenance Management System (CMMS).
  • Create and maintain equipment hierarchies, asset registers, preventive maintenance routines, and task libraries.
  • Ensure all maintenance work orders are accurately recorded and closed out within the CMMS.
  • Analyse system data to identify trends, improve maintenance effectiveness, and support reliability initiatives.
  • Develop standardised maintenance planning processes within the CMMS environment.
KPI Reporting & Analysis
  • Generate and distribute weekly and monthly maintenance performance reports.
  • Monitor and report key maintenance KPIs.
  • Provide analysis and improvement recommendations to management.
Contractor Management
  • Coordinate contractor activities and maintenance service providers.
  • Manage contractor scheduling to ensure efficient execution of maintenance works.
  • Maintain contractor documentation.
  • Ensure all contractor activities comply with company safety policies and statutory requirements.
Maintenance Resource Planning
  • Manage maintenance team availability and resource allocation.
  • Coordinate maintenance technician annual leave, training schedules, and shift coverage requirements.
Annual Projects & Shutdown Planning
  • Support the planning and execution of annual maintenance shutdowns.
  • Develop detailed project schedules and resource plans for major maintenance works.
  • Assist with budget planning and capital project coordination.
  • Track project progress, costs, and key milestones.
  • Coordinate cross-functional activities to ensure successful project completion.
Continuous Improvement
  • Identify opportunities to improve maintenance efficiency and asset reliability.
  • Support reliability-centred maintenance initiatives and root cause analysis activities.
  • Standardise work procedures and maintenance planning processes.
Qualifications & Experience
  • Minimum 3-5 years' experience in a maintenance planning, scheduling, or maintenance coordination role within a manufacturing or industrial environment.
  • Proven experience implementing, configuring, and developing CMMS systems.
  • Strong experience in preventive maintenance planning and scheduling.
  • Experience managing contractor activities and compliance documentation.
  • Proficiency in Microsoft Excel and maintenance reporting tools.
  • Experience with ERP systems and maintenance budgeting.
