Job summary

Sigmar Recruitment is seeking a Maintenance Planner / Scheduler for a leading integrated facilities management operation supporting a pharmaceutical manufacturing facility in Ringaskiddy, Co. Cork.

Qualifications

• Degree or diploma in Mechanical Engineering, Electrical Engineering, Building Services Engineering, Facilities Management or related discipline.
• 5–10 years' experience in maintenance planning, scheduling or facilities management in a technical environment.
• Experience using a CMMS or EAMS system.
• Knowledge of preventive and corrective maintenance principles.
• Experience coordinating contractors and service providers.
• Understanding of mechanical, electrical, utilities and building services systems.
• Experience with Permit to Work systems.

Responsibilities

• Plan, coordinate, schedule and report on preventive and corrective maintenance activities across the site.
• Develop, maintain and optimise preventive maintenance schedules within the CMMS.
• Coordinate mechanical, electrical, utilities and building services maintenance activities.
• Schedule corrective maintenance with engineering and operations teams.
• Lead weekly team meetings and attend area meetings.
• Manage work orders to ensure planning, prioritisation and timely completion.
• Coordinate shutdowns, outages and contractor visits.
• Maintain CMMS data: assets, labour, spares and maintenance records.
• Monitor contractor performance against SLAs and KPIs.
• Provide regular updates to stakeholders on open work orders.

About Your New Job

As the Maintenance Planner / Scheduler, you will be responsible for planning, coordinating, scheduling, and reporting on preventive and corrective maintenance activities across the site.

Your key responsibilities will include:

• Developing, maintaining, and optimising preventive maintenance schedules within the CMMS.
• Planning and coordinating mechanical, electrical, utilities, building services, and facilities maintenance activities.
• Scheduling corrective maintenance in collaboration with engineering and operations teams.
• Leading weekly team meetings and attending relevant area meetings.
• Ensuring work orders are properly planned, prioritised, resourced, and completed on schedule.
• Coordinating shutdowns, outages, major maintenance activities, and contractor visits.
• Maintaining accurate asset, equipment, labour, spares, and maintenance data within the CMMS.
• Managing maintenance backlogs and supporting CMMS audits and continuous improvement initiatives.
• Coordinating subcontractor access, permits, documentation, and compliance requirements.
• Monitoring contractor performance against agreed service levels and KPIs.
• Managing Facilities Helpdesk requests and prioritising service tickets according to operational impact.
• Providing regular updates to stakeholders on open work orders and ongoing activities.
• Supporting the site’s Permit to Work system and ensuring maintenance activities are properly authorised.
• Ensuring documentation complies with client requirements and ALCOA principles.
• Acting as the final reviewer of maintenance activities.
• Producing weekly, monthly, quarterly, and annual maintenance reports.
• Tracking KPIs, including preventive maintenance completion, backlog levels, contractor performance, and CMMS compliance.
• Analysing maintenance trends and identifying opportunities to improve reliability, performance, and cost efficiency.
• Supporting budget planning, resource forecasting, audits, risk assessments, safety observations, and investigations where required.

What Skills You Need

• A degree, diploma, or equivalent qualification in Mechanical Engineering, Electrical Engineering, Building Services Engineering, Facilities Management, or a related discipline.
• Between 5 and 10 years’ experience in maintenance planning, scheduling, facilities management, engineering, or a related technical environment.
• Proven experience using a CMMS or EAMS system.
• Strong knowledge of preventive and corrective maintenance principles.
• Experience coordinating contractors, subcontractors, and service providers.
• Good understanding of mechanical, electrical, utilities, and building services systems.
• Experience working within a documented Permit to Work system.

Desirable Experience

• Experience in pharmaceutical, biotechnology, life sciences, or regulated manufacturing environments.
• Knowledge of GMP requirements and compliance standards.
• Experience with Maximo, SAP PM, Infor EAM, or a similar CMMS platform.
• Understanding of instrumentation, controls, and automation systems.
• Ability to interpret P&IDs, engineering drawings, and technical documentation.
• Experience supporting reliability-centred maintenance programmes.
• Knowledge of design, construction, commissioning, and start-up activities.
