Job summary

Responsibilities

  • Coordinate daily inbound logistics activities across road, sea and air freight operations.
  • Support planning and scheduling of inbound deliveries in line with operational requirements and shelf-life considerations.
  • Monitor inbound shipments and communicate delays or service issues to stakeholders.
  • Liaise with suppliers, hauliers, shipping lines and freight forwarders to ensure timely collection and delivery.
  • Assist with container scheduling, haulage planning and transport coordination to meet targets.
  • Track supplier delivery performance and escalate issues where necessary.
  • Support customs clearance activities by coordinating documentation with customs agents and partners.
  • Ensure freight documentation and records are updated within timelines.
  • Assist with coordinating global imports by air and sea with proper documentation.
  • Maintain relationships with third-party logistics providers and transport partners.
  • Support monitoring inbound transport costs and cost control initiatives.
  • Collaborate with Inbound Transport Manager and wider logistics team for day-to-day operations.
  • Work with Procurement, Sales, Warehouse, Technical and Planning teams for coordination.
  • Act as a point of contact for inbound transport queries and updates.
  • Support peak trading periods and seasonal demand fluctuations.
  • Identify opportunities for process improvements and efficiencies.
  • Ensure compliance with Health & Safety standards and procedures.
  • Assist with onboarding and training for new team members.

Purpose of the Role

Responsible for the day to day coordination and execution of inbound transport operations across multiple international supply routes and transport modes. Operating within a fast paced environment, the role supports the efficient, compliant and cost effective movement of products from global suppliers through to the business distribution network.

The successful candidate will work closely with suppliers, hauliers, customs agents, shipping partners and internal departments to ensure inbound deliveries are planned, tracked and managed effectively. The role requires strong organisational skills, attention to detail and the ability to respond quickly to operational issues in order to maintain continuity of supply and service standards.

This position plays an important role in supporting inbound transport operations, monitoring logistics performance, maintaining accurate records and ensuring compliance with customs, legal and company requirements across Ireland, the UK, EU and global import markets.

The role will contribute to a culture of teamwork, accountability and continuous improvement while building strong working relationships with logistics partners and internal stakeholders.

Main Responsibilities
Inbound Logistics Coordination
  • Coordinate daily inbound logistics activities across road, sea and air freight operations.
  • Support the planning and scheduling of inbound deliveries in line with operational requirements and product shelf-life considerations.
  • Monitor inbound shipments and proactively communicate delays, disruptions or service issues to relevant stakeholders.
  • Liaise with suppliers, hauliers, shipping lines and freight forwarders to ensure timely collection and delivery of products.
  • Assist with container scheduling, haulage planning and transport coordination to support daily operational targets.
  • Track supplier delivery performance and **escalate** issues where necessary.
  • Support customs clearance activities by coordinating documentation with customs agents and logistics partners.
  • Ensure all freight documentation, transport records and logistics systems are accurately updated within required timelines.
  • Assist with coordinating global imports by air and sea, ensuring all required documentation is completed correctly.
  • Maintain strong working relationships with third-party logistics providers and transport partners.
  • Support the monitoring of inbound transport costs and assist with cost control initiatives.
Operational Support
  • Work closely with the Inbound Transport Manager / Supply Chain Director and wider logistics team to support smooth day-to-day operations.
  • Collaborate with Procurement, Sales, Warehouse, Technical and Planning teams to ensure efficient supply chain coordination.
  • Act as a key point of contact for inbound transport queries and operational updates.
  • Support logistics planning activities during peak trading periods and seasonal demand fluctuations.
  • Assist in identifying opportunities for process improvements and operational efficiencies.
  • Ensure all logistics activities are carried out in accordance with company Health & Safety standards and operational procedures.
  • Support onboarding and training activities for new team members where required.
Compliance & Administration
  • Ensure compliance with customs procedures, transport regulations and approved haulier policies.
  • Assist in monitoring customs entry accuracy and resolving customs-related queries.
  • Maintain accurate operational records and support KPI reporting for inbound logistics activities.
  • Complete daily and weekly administration tasks including shipment tracking, reporting and system updates.
  • Assist with invoice queries, transport cost reconciliations and supplier documentation checks.
  • Support supplier performance monitoring through KPI tracking and service reviews.
  • Ensure all required compliance and training activities are completed within designated timelines.
Key Accountabilities
  • Coordination of inbound deliveries to ensure products arrive on time and in full.
  • Accurate maintenance of transport records, shipment documentation and logistics systems.
  • Effective communication with suppliers, hauliers, customs agents and internal stakeholders.
  • Support delivery of inbound transport service levels and operational targets.
  • Timely escalation and resolution of inbound logistics issues.
  • Maintenance of customs compliance and transport administration standards.
  • Contribution to continuous improvement initiatives within the logistics function.
  • Delivery of accurate reporting and operational support to the Inbound Transport Manager / Supply Chain Director.
Skills & Experience
  • Previous experience in logistics, transport coordination or supply chain administration, ideally within fresh produce, FMCG or a fast paced environment.
  • Understanding of international freight operations across road, sea and air freight.
  • Working knowledge of customs procedures and import/export documentation would be advantageous.
  • Strong organisational skills with the ability to manage multiple priorities effectively.
  • Excellent attention to detail and problem solving ability.
  • Strong communication and stakeholder management skills.
  • Ability to work effectively in a fast paced and constantly changing environment.
  • Good commercial awareness and understanding of logistics operations.
  • Strong IT and systems skills, including Microsoft Office and transport/logistics systems.
  • Ability to work collaboratively as part of a team.
Special Circumstances
  • Flexibility may be required to work outside normal business hours in line with operational requirements.
  • Participation in an on call rota required to support operational issues.
  • Role operates on a 5 days over 7 working pattern.
  • Occasional travel may be required depending on operational needs.
Education & Qualifications
  • Degree, diploma or relevant experience in Supply Chain, Logistics, Business or a related discipline.
  • Experience in transport coordination, logistics administration or supply chain operations.
  • Knowledge of customs clearance processes and Incoterms would be advantageous.
  • Understanding of inbound logistics and international freight operations preferred.
