Job summary

OpenSky Data Systems is seeking an experienced HR Administrator to support our People & Culture function and the day-to-day HR operations across the Irish and Polish offices. Reporting to the Head of People & Transformation, you will manage HR records, respond to employee queries, coordinate recruitment and onboarding, and support payroll data updates.

  • Strong working knowledge of Microsoft Office (Outlook, Word, Excel).
  • Excellent communication and stakeholder management ability.
  • Knowledge of Irish employment law.
  • Knowledge of Polish employment law is a benefit but not a requirement.

Responsibilities

Reporting to: Head of People & Transformation

The Role

OpenSky Data Systems is seeking an experienced and highly organised HR Administrator to support our People & Culture function and the day-to-day operations of our office. Reporting to the Head of People & Transformation, this role plays a key part in ensuring smooth HR administration and people processes across the organisation.

As we grow, we are investing in our People & Culture function - and this role sits right at the heart of that. You will work closely with the Head of People & Transformation, gaining hands-on exposure to the full breadth of HR practice in a dynamic, tech-driven environment.

The ideal candidate will have a minimum of 3 years' experience in a HR administration or related role, with a working knowledge of HR practices and employment legislation.

Key Responsibilities

The following is not an exhaustive list.

HR & People Administration

Maintain and update the HR system and employee records, ensuring data accuracy and confidentiality for both the Irish and Polish offices.

Act as the first point of contact for general employee queries, escalating to the People & Culture Manager as appropriate.

Draft employee letters and general HR correspondence.

Assist in recruitment and onboarding processes, including coordination of documentation and induction scheduling.

Independently coordinate and manage performance review scheduling, ensuring all documentation is prepared accurately and in alignment with timelines set by the Head of People & Culture.

Maintain daily records to ensure accurate data input for payroll updates at month end.

Support the coordination of training and development activities, and ensure staff Microsoft certifications are renewed or scheduled as required.

Review and preparation of visa application documentation.

Draft and circulate internal communications, ensuring high standards of accuracy, presentation, and tone.

Provide administrative support across key HR processes as required.

Office Administration

Support the day-to-day running of the office, providing administrative support including handling correspondence, document preparation, and follow-up on action items.

Coordinate schedules and organise meeting and event logistics, including room bookings, calendar invites, travel and accommodation

Ensure compliance with company policies, Health & Safety regulations, and quality standards.

Organise and take ownership of staff events in both Poland and Ireland, bringing creative ideas to enhance engagement.

Act as a professional representative of the organisation when interacting with employees, visitors, and external parties.

Maintain upkeep of office and supplies.

Exercise discretion and confidentiality in handling sensitive information.

Proactively identify opportunities to improve administrative processes and office efficiency.

Experience & Qualifications

Minimum of 3 years' experience in an HR administration or office administration role in a professional environment.

A qualification in Human Resources, Business Administration, or a related field is desirable.

Must be an EU passport holder and located within Ireland.

Strong working knowledge of Microsoft Office (particularly Outlook, Word, and Excel).

Excellent communication and stakeholder management ability.

High level of professionalism, discretion, and personal integrity.

Strong attention to detail and commitment to documentation accuracy.

Proactive and solutions-oriented mindset.

Knowledge of Irish employment law.

Knowledge of Polish employment law is a benefit but not a requirement
