Job summary

Aoibhneas, based in Ireland, is seeking a HR Administrator to support the HR Coordinator in delivering high-quality HR services across locations. The role involves a full spectrum of HR admin tasks, data integrity, GDPR compliance, and contributing to streamlined HR processes.

Qualifications

  • Requires a relevant third-level qualification in HR, Business Administration, Public Administration, Employment Studies, or equivalent experience.
  • Minimum of 1 year in HR administration or HR support role.
  • Experience supporting key HR functions.
  • Working knowledge of Irish employment legislation and HR best practice.
  • Excellent administrative, organisational, and time management skills.

Responsibilities

  • Provide day-to-day HR administrative support across the full employee life cycle.
  • Support HRIS implementation, maintenance, and data accuracy.
  • Maintain employee information, contracts, and HR databases with GDPR compliance.
  • Assist with reviewing and developing HR processes and policies.
  • Act as point of contact for HR queries for employees and managers.
  • Coordinate recruitment administration including vacancy ads, interviews, and onboarding.
  • Support onboarding, induction, probation reviews, and offboarding including exit interviews.
  • Assist with benefits administration, EAP, and wellbeing initiatives.
  • Support employee engagement initiatives and internal communications with the Communications Officer.
  • Maintain HR compliance records and assist with legislation adherence.
  • Assist with HR reports, metrics, and management information.
  • Coordinate mandatory training and maintain training records.
  • Support performance management processes and learning and development initiatives.
  • Provide admin support for employee relations with confidentiality.
  • Update staff intranet and ensure GDPR compliance.
  • Undertake other duties at request by HR Coordinator/Head of Services/CEO.

Job description

FRS is delighted to be partnering with Aoibhneas in the recruitment of a HR Administrator

The HR Administrator will play an important role in supporting the HR Coordinator in the effective delivery of HR services across Aoibhneas locations. This is a varied role, providing administrative support across the full employee life cycleand helping to ensure that HR processes are delivered efficiently, accurately, and in line with organisational policies, employment legislation, GDPR requirements, and best practice.

The successful candidate will have excellent organisational and administrative skills, strong attention to detail, and the ability to manage confidential information with discretion and professionalism.

Key Responsibilities
  • Provide day-to-day HR administrative support across the full employee life cycle.
  • Support the implementation, maintenance, and ongoing development of the organisation's HR Information System (HRIS), ensuring employee records are accurate and up to date.
  • Maintain employee information, contracts, personnel files, and HR databases in accordance with GDPR requirements and organisational policies.
  • Assist with the review and development of HR systems, processes, policies, and procedures, identifying opportunities to improve efficiency and the employee experience.
  • Act as a point of contact for HR-related queries, providing appropriate guidance and support to employees and managers.
  • Coordinate recruitment administration, including vacancy advertising, interview scheduling, candidate correspondence, reference checks, and on boardingdocumentation.
  • Support on boarding, induction, probation review processes, and employee off boarding, including the coordination of exit interviews.
  • Assist with the administration and coordination of employee benefits, the Employee Assistance Programme (EAP), and employee well-beinginitiatives.
  • Support employee engagement initiatives, including employee surveys, staff events, and internal communications, in collaboration with the Communications Officer.
  • Maintain HR compliance records and support adherence to employment legislation, organisational policies, and best practice.
  • Assist the HR Coordinator with the preparation of HR reports, metrics, and management information.
  • Coordinate mandatory training, maintain accurate training records, and assist with the development and distribution of training materials.
  • Support performance management processes, including probation reviews, performance appraisals, and learning and development initiatives.
  • Provide administrative support in relation to employee relations matters, ensuring accurate documentation and strict confidentiality at all times.
  • Update the staff intranet as required.
  • Ensure all HR administration is completed accurately, efficiently, and in accordance with GDPR and confidentiality requirements.
  • Undertake any other duties appropriate to the role as reasonably requested by the HR Coordinator, Head of Services, or CEO.
Candidate Requirements
  • A relevant third-level qualification in Human Resources, Business Administration, Public Administration, Employment Studies, or a related discipline, or equivalent relevant experience.
  • A minimum of one year's experience in an HR administration or HR support role.
  • Demonstrable experience supporting key HR functions.
  • Working knowledge of Irish employment legislation and HR best practice.
  • Excellent administrative, organisational, and time management skills, with the ability to manage competing priorities and deadlines.
  • Strong written and verbal communication skills, with the ability to engage professionally and confidently with employees, managers, and external stakeholders.
  • Proficiency in Microsoft Office applications.
  • Excellent attention to detail and a high level of accuracy when maintaining records and preparing HR documentation.
  • A strong understanding of confidentiality, GDPR, and the importance of handling sensitive employee information.
  • Previous experience working within the not-for-profit, charity, social care, or community sector.
  • Experience using HR Information Systems, particularly Sage HR and/or BrightHR.
  • Experience supporting recruitment campaigns, interviews, and candidate on boarding.
  • Knowledge of Garda Vetting, compliance monitoring, and employee file audits.
  • Experience assisting with payroll preparation and benefits administration.
  • Experience supporting HR projects and employee engagement initiatives.
  • A full, clean driving licence and access to transport to facilitate occasional travel between locations.
  • Demonstrated ability to work independently, while also contributing effectively as part of a wider team.
