Job summary

Apleona is recruiting a Facilities Manager for our Dublin 4 site. The role covers day-to-day facilities operations, budgeting, and coordination of in-house and outsourced resources to deliver high-quality FM services.

You will manage PPM activities, ensure health and safety compliance, and drive improvements across all facilities functions while reporting to the client and Contracts Manager.

Qualifications

• Minimum 5 years' experience in a facilities environment
• Excellent PC skills (Word, Excel, PowerPoint) and project management
• Experience in Health and Safety and environmental issues
• Understanding of mechanical and electrical building engineering services
• Understanding of financial budgeting, management and control techniques
• Experience with service provision contracts and contract administration procedures
• Knowledge of local building, fire and safety codes
• Excellent customer service and communication skills

Responsibilities

• Provide timely reports to the client and Contracts Manager on projects and office moves on site
• Maintain auditable records for all PPM activities and file documents
• Manage outsourced resources' operational direction and ensure quality performance
• Track and resolve facilities requests in line with the helpdesk SLA
• Periodically report to the client (Monthly, Weekly, Adhoc)
• Identify and implement efficiency improvements across facilities services
• Ensure assets are entered into WFM per Apleona requirements
• Source and manage materials and subcontractors
• Deliver PPM schedules and action remedial works
• Manage budgets for all contracts under their control
• Develop and deliver SLAs for clients and subcontractors
• Coordinate training for staff and ensure HR policies are followed
• Ensure safe systems of work and compliance with Health & Safety requirements
• Support commercial functions as needed
• Monitor quality of work via audits and review breakdowns
