ISS Facility Services Ireland is seeking an experienced Facilities Manager to oversee day-to-day operations, manage vendors, and implement robust FM plans. You will lead safety and compliance, coordinate audits, and drive client initiatives while supporting the regional facilities framework.

The role requires strong leadership, 5+ years of facilities management experience, and certifications like IOSH/NEBOSH. A higher education background is preferred, with MBIFM as an advantage.

Responsabilités

• Oversee day-to-day facilities operations.
• Oversee vendors and contractors for PPM, reactive and soft services with engineering teams.
• Develop and implement facility management plans and schedules.
• Support Regional Facilities Manager with vendor contracts and service agreements.
• Evaluate vendor performance and ensure service quality.
• Supervise documentation and file management for audits and service sheets.
• Develop and maintain office policies, procedures and SOPs.
• Manage workplace inquiries and client requests.
• Plan Weekly Rota and distribution.
• Support client initiatives (sustainability, wellness, CSR, D&I).
• Ensure health and safety compliance and records (fire drills, evacuations).
• Develop emergency response plans and conduct weekly audits.

Shift Pattern: 9 am -5 pm, Total Hours Per Week : 40, Monday - Friday

Job Purpose

• Oversee day-to-day facilities operations
• Oversee vendors and contractors for PPM, reactive and soft services (with the WPC / Engineering Teams)
• Develop and implement facility management plans and schedules.
• Support Regional Facilities Manager with vendor contracts and service agreements.
• Evaluate vendor performance and ensure service quality (with RFM)
• Supervise the WPC in adhering to file management of audits, service sheets and all other workplace documentation.
• Develop and maintain office policies, procedures and playbooks / SOP
• Manage workplace-related inquiries and requests from clients.
• Plan Weekly Rota and distribution.
• Being actively involved in the various client initiatives (sustainability/wellness/CSR/D&I)

Health and Safety compliance

• Ensure workplace safety and compliance with relevant regulations. Ensuring documents are kept in order both hard and digital copy.
• Adhere to and ensure records are in place for all statutory fire drills / evacuations across the region.
• Conduct regular inspections to ensure the workplace is safe and compliant with regulations.
• Develop and implement emergency response plans (fire strategy / evacuation / BRT) and protocols. Manage the weekly walk-through audits of the emergency evacuation routs in all buildings.

Qualifications:

• Facilities Management
• IOSH or NEBOSH
• Good general level of education, preferably to higher education level.
• Professional qualifications & memberships (eg. MBIFM) as advantage

Experience Required

• 5 years + managing teams
• Strong customer and client focus
• Supplier management – must have experience of managing suppliers in a similar type of environment
• Knowledge of Statutory Compliance
• Sound knowledge of life preservation systems
• Able to work out of hours to support service delivery needs as necessary
• Proven ability to motivate, lead and develop people
• Ability to interface across all levels of the organisation
• Ability to negotiate and influence across Client and Supplier organisations
• Computer literate – good Excel, Word and PowerPoint skills
• Excellent written and verbal communication. Excellent presentation and negotiation skills
• Ability to build and maintain relationships
• Ability to lead motivate and develop a team
• Excellent time management and organisational skills
• Ability to react quickly and decisively using own initiative when faced with a problem or issue
• Ability to work under pressure and to tight deadlines
• Commercial and financial awareness (€1-2m+)
• Experience managing multiple contractors ensuring no impact to daily operations
