Job Responsibilities:
- Supervise the Postroom at 50% capacity.
- Provide support across multiple projects within the Facilities Department at 50% capacity.
- Supervise the existing Postroom attendee and their duties to ensure the effective operation of the Postroom.
- Order stationery for all client offices in Ireland (x10 offices).
- Approve and sign off on stationery invoices, as required.
- Manage the national and international courier contracts and manage the delivery and collection of packages as directed by the organisation for all global offices.
- Approve and sign off the monthly invoices submitted by the national and international courier companies.
- Organise the incoming and outgoing post via An Post for offices in Ireland.
- Deliver and collect interdepartmental post in 3PP, as required.
- Digitise and manage the stationary ordering process.
- Digitise department processes in order to go paperless.
The Facilities requirements in the role will include but not limited to:
- Provide support across the Office Services functions within the Facilities Department which includes H&S related matters.
- Support the Facilities team with requests from the regional and overseas offices.
- Provide general support on a case-by-case basis eg. the upcoming refurbishments of client offices.
- Induct contractors in advance of works commencing.
- Monitor the cleaning of meeting rooms across all client offices floors.
- Liaise with catering contractors to ensure meeting rooms are set up in advance of client meetings.
- Audit the FM helpdesk to ensure all necessary paperwork is available on the system.
- Draft the national and international tenders for the courier contracts, when required.
- Procurement of stationery and First Aid supplies.
- Provide administration support for the development and evaluation of tenders in the Facilities Department.
- Provide support for the day-to-day operational activities in Facilities.
Other duties as and when required to meet the needs of the department.
