Job summary

AbbVie North Dublin is seeking an Executive Assistant to support the Directors of ME&C Security and Director Supply Chain Security on site. You will manage calendars, coordinate LT meetings, and oversee engagements to keep leadership focused on strategic decisions.

The role requires strong MS Office skills, fast typing, confidentiality, and a proactive approach. Fluent English is required; French is desirable. This is an on‑site role based in North Dublin.

Qualifications

  • Third level qualification in Business or a related discipline is preferred.
  • 3–5 years’ experience in a similar role, ideally in a multinational environment.
  • Experience working with MS Office (including PowerPoint) is required.
  • Fast and effective typing skills, good organisational and communication abilities.
  • Ability to handle confidential information with integrity.
  • Fluent English required; French would be desirable.

We are currently recruiting for an Executive Assistant to support the Director of ME&C Security and Director Supply Chain Security on site AbbVie North Dublin, managing the day‑to‑day operations for their respective Leadership Team (LT).

This role contributes added value through streamlined processes, effective communication, and meticulous attention to detail, aiming to foster a collaborative and well‑organized work environment.

In this role you will be managing calendars, coordinating meetings and events, and overseeing coordination for internal and external engagements, ensuring the teams can focus on strategic decision‑making and leadership.

Key activities you will perform in the role:

  • Supporting the Director of ME&C Security and Director Supply Chain Security with calendar management and day‑to‑day operations for their respective Leadership Team (LT).
  • Coordinating the activities of the LT, including scheduling and agenda management of relevant LT meetings, collecting and distributing LT metrics, and managing action items and accountability, producing site reports, presentations and highlight updates.
  • Attending LT meetings occasionally to align metric reporting.
  • Participating in and managing projects, including working with the Global Security cross‑functional teams such as All Employee Meeting, Employee, Team Culture & Engagement, and supporting all local teams where possible.
  • Coordinating communication at all levels—email updates, supporting updates of digital screens on sites where security messages are prevalent, working with our Communications leads.
  • Coordinating LT events, off‑site training and team‑building activities as directed.
  • Leading the coordination and agenda of important/VIP internal and external visitors, including accommodation, transport, meeting rooms, catering and restaurant bookings.
  • Managing the meeting‑rooms booking system.
  • Scheduling flights, accommodation and car hire for the Directors (including their direct reports) and, at times, for the LT, taking time, cost and inconvenience into consideration, and supporting the Directors with Expense Claims through Concur.
  • Requisitioning e‑Carts for PO's for LT functions, including order creation and payments.
Qualifications
  • Third level qualification in Business or a related discipline is preferred.
  • 3–5 years’ experience in a similar role, ideally in a multinational environment.
  • Experience working with MS Office (including PowerPoint) is required.
  • Fast and effective typing skills, good organisational skills, excellent communication abilities and interpersonal skills.
  • Ability to handle confidential information with integrity.
  • Ability to demonstrate a proactive approach to duties.
  • Fluent English required. French would be desirable.
