Position Summary
NeoDyne is seeking an organised and detail-focused Document Controller to support the delivery of data centre and mission-critical infrastructure projects within our Power Generation & Energy Systems team. The Document Controller will be responsible for managing project documentation throughout the engineering, construction, commissioning and handover phases, ensuring information is accurately controlled, distributed and maintained. Working closely with NeoDyne's engineering teams, project managers, clients, contractors and vendors, the successful candidate will play an important role in maintaining effective information flow and ensuring project teams have access to accurate and current documentation.
The role is offered as a full-time staff position with an excellent Salary and Benefits package. We're offering location flexibility for the right candidate, with the role being based at any of our Irish offices: Dublin, Cork, Waterford or Galway. Key Responsibilities
- Manage the receipt, review, distribution and filing of project documentation in accordance with agreed document control procedures.
- Maintain document registers, revision histories and transmittal records to ensure accurate document status and traceability.
- Manage engineering drawings, specifications, technical submissions, vendor documentation, reports and project correspondence.
- Ensure project teams are working from the latest approved versions of documents and drawings.
- Coordinate document submissions and reviews between NeoDyne, clients, contractors and equipment vendors.
- Monitor document review and approval workflows, following up on overdue submissions and outstanding actions.
- Perform quality checks on documentation to ensure compliance with project requirements and naming, numbering and revision conventions.
- Support project reporting by providing accurate information on document status, submissions and outstanding reviews.
- Support construction, completions and commissioning teams with the management of test records, certificates and turnover documentation.
- Coordinate the compilation and handover of final project records, including as-built drawings, O&M documentation and vendor data.
- Support the development and continuous improvement of NeoDyne's document control processes and standards.
Required
Experience & Skills
- 3rd level qualification in Business Administration, Information Management, or related field.
- 3+ years' experience in document control, project administration or information management within an engineering, construction or similar project environment.
- Knowledge of industry standards and regulations related to document control.
- Experience managing technical documentation, drawings, registers, revisions and document workflows.
- Strong attention to detail and a structured, organised approach to information management.
- Strong IT skills and experience with document management and Microsoft Office applications.
- Ability to manage multiple priorities and deadlines in a fast-paced project environment.
- Strong communication and coordination skills, with the ability to work effectively with multidisciplinary teams.
- Ability to work independently while maintaining close communication with project stakeholders.
Desired
- Experience supporting data centre, mission-critical, power generation, energy or other complex engineering projects.
- Experience working within an engineering consultancy, EPC contractor or similar project delivery environment.
- Familiarity with engineering and construction documentation and associated review and approval processes.
- Experience managing vendor documentation and technical submittals.
- Experience supporting construction, completions, commissioning and project handover activities.
- Knowledge of document control standards, quality management systems and project information management best practices.
