Waystone is seeking a maternity leave cover Manager to drive AI-enabled automation and process improvements within Global Registration Services. You will translate operational needs into repeatable workflows, coordinate delivery, track deadlines and escalate technical questions to specialists.

You will lead initiatives to improve registration processes, data quality and KPI reporting, while ensuring best practices and governance across Salesforce records and client communications.

Competenze

• Third-level degree in business, technology, operations or related.
• 4–5 years in operations, process improvement or change delivery.
• Experience using AI-assisted tools in business processes.
• Strong English communication and attention to detail.

Mansioni

• Improve registration and notification preparation using templates, checklists and approved AI/automation tools.
• Streamline document collation, completeness checks and data extraction, validating outputs against source documents.
• Support template-based correspondence and AI-assisted drafting, ensuring content is verified before submission.
• Coordinate submission workflows, task allocation and evidence capture, with approvals owned by GRS specialists.
• Support ongoing registration maintenance with defined workflows and timelines, tracking submissions and changes.
• Develop KPIs and reporting on service delivery and automation outcomes (time saved, turnaround, data quality).
• Maintain Salesforce records for fund registrations and private placements, improving data standards.
• Coordinate quarterly board reporting using validated data and status updates.
• Respond to client queries, manage updates and escalate technical questions to GRS specialists.
• Own a prioritized improvement backlog for the cover period, coordinating pilots and rollouts with teams.
• Use only approved AI tools and ensure access controls, audits and human review.
• Record activity in Salesforce and explore automation capture/reminders while ensuring accuracy.
• Train team members on improved workflows and responsible AI usage; coordinate training with GRS specialists.
• Complete handovers covering portfolios, deadlines, priorities, and improvements.
