Job summary

Agincourt Resources in Indonesia hosts a critical role within MPDE Department as Superintendent – Project Expediting. You will monitor, coordinate, and expedite vendor data, equipment, and materials to meet project schedules.

Reporting to Manager – Project Contracts & Procurement, you will drive expediting plans across multiple capital packages, manage critical equipment, and ensure compliant, timely delivery of documentation and goods for Martabe Gold Mine.

Qualifications

  • Bachelor’s degree in engineering, Supply Chain Management, Business, Finance or related discipline (or equivalent).
  • Eight+ years of procurement expediting experience, preferably in mining or heavy industry.
  • Experience in domestic and international freight forwarding and logistics.
  • Experience in expediting and materials control processes including supplier performance monitoring.
  • Understanding of end-to-end sourcing and PO lifecycle management.
  • Strong computer literacy and ability to implement operational processes.

Responsibilities

  • Monitor and expedite a high-volume portfolio of 300+ POs across multiple projects.
  • Oversee critical equipment progress and schedule-sensitive items.
  • Review contracts, specs, PO terms, and delivery schedules to identify milestones and risks.
  • Coordinate with Engineering to expedite vendor data and ensure timely data delivery.
  • Develop risk-based expediting plans with Project Controls from procurement start.
  • Coordinate supplier shop visits and inspections to verify progress and milestones.
  • Manage import/export activities, customs clearance, and related compliance.
  • Maintain records of freight costs and provide cost-performance reporting.
  • Act as interface for suppliers, freight forwarders, and project teams.

Job description

This position is based at the Martabe Gold Mine within the MPDE Department and reports directly to the Manager – Project Contract & Procurement.

The Superintendent –Project Expediting is responsible for monitoring, coordinating, and expediting the timely delivery of vendor data, equipment, and materials from suppliers and contractors in accordance with contractual requirements and project schedules. Working across multiple capital projects with varying scopes, values, and risk profiles, the role ensures that purchased goods and associated engineering documentation are delivered on time and in compliance with PTAR’s corporate values and ethical standards.

The role works closely with Project Managers, Engineering, Contracts & Procurement, suppliers, and contractors to monitor progress, identify potential scheduler risks, initiate corrective actions, and ensure that expediting activities support the successful delivery of each project.

The position oversees a broad and technically diverse portfolio of capital project packages, ranging from mechanical, structural, and electrical equipment to instrumentation and specialist fabricated items. It applies a rigorous, risk-based expediting approach throughout the procurement lifecycle, from engineering and vendor documentation through manufacturing, inspection, and final delivery.

KeyResponsibilities
  • Schedule Control: Monitor and expedite a high-volume portfolio of 300+ purchase orders across multiple projects, ensuring the timely delivery of materials, equipment, and vendor data in accordance with agreed project schedules.
  • Critical Equipment Management: Monitor and control the progress of high-value, complex, and schedule-critical equipment, including filtration packages, compressors, pumps, fabricated platework, structural steel, pressure vessels, electrical switchgear, and instrumentation.
  • Package Familiarisation: Review and analyse contractual requirements, technical specifications, purchase order terms, and delivery schedules for assigned packages to identify key milestones, critical targets, supplier constraints, and potential schedule risks prior to commencing expediting activities.
  • Vendor Data Coordination: Work closely with Engineering to expedite internal reviews and facilitate the timely submission and return of supplier documentation. Ensure suppliers provide final vendor data packages in accordance with the agreed Vendor Data Delivery Schedules.
  • Expediting Planning: Collaborate with Project Controls from the outset of the procurement phase to develop risk-based expediting plans, establish appropriate actions for critical-path items, and regularly review progress against key project milestones.
  • Inspection & Supplier Surveillance: Coordinate and conduct supplier shop visits and field expediting activities to verify manufacturing progress, quality milestones, and schedule status for critical packages. Coordinate specialist third-party inspections where required and as directed by the Project Manager.
  • Change Management: Assess and monitor the schedule implications of engineering design changes and variations on supplier manufacturing and delivery timelines, proactively communicating potential impacts to Project Controls and Project Managers and supporting appropriate corrective actions.
  • End-to-End Freight Coordination: Coordinate international and domestic freight from the contractual point of delivery through to the Martabe Gold Mine, including the final handover to the site Project Materials Management team.
  • OS&D Resolution: Work closely with the site materials team to resolve Overage, Shortage and Damage (OS&D) claims and expedite replacement materials or components to minimise potential project delays.
  • Logistics Execution: Coordinate sea freight, air freight, and chartered vessels for specialised or oversized deliveries, maintaining close liaison with PTAR’s appointed third-party freight forwarding contractors.
  • Shipping Documentation: Review and verify project shipping documentation against PTAR requirements and applicable Government of Indonesia regulations, including commercial invoices, packing lists, Bill of Lading (BoL), Air Waybills (AWB), weights, dimensions, and collection details.
  • Import & Export Compliance: Coordinate with internal and external logistics and expediting personnel to manage import and export activities, including customs clearance, import duty requirements, and Free Trade Zone interfaces, ensuring compliance with applicable requirements.
  • Freight Cost Control: Maintain accurate records of freight and import-related costs, monitor expenditure against the allocated budget, and provide timely reporting on cost performance.
Stakeholder Coordination & Reporting
  • Primary Point of Contact: Support the Manager – Project Contracts & Procurement by acting as the primary coordination interface for assigned projects across suppliers, freight forwarders, Project Managers, Engineering, Document Control, QA/QC, and other relevant stakeholders.
  • Process Standardisation: Implement and maintain a consistent, integrated, and reliable approach to project expediting and logistics workflows across assigned projects.
  • Reporting & Registers: Maintain and distribute accurate expediting reports, progress updates, and tracking registers. Ensure supplier interactions, packing lists, delivery documentation, and other relevant records are appropriately maintained, while coordinating the transfer of required data to the site project materials control system.
  • Commercial Risk Management: Maintain comprehensive records of supplier progress, delays, delivery performance, and key commercial matters. Provide the Manager – Project Contracts & Procurement with evidence-based recommendations to support the management of liquidated damages, back-charges, supplier performance issues, and improvement plans.
Requirements
  • A bachelor’s degree in engineering, Supply Chain Management, Business, Finance, or a related discipline. Equivalent relevant experience may also be considered.
  • A minimum of eight years of relevant experience in procurement expediting, preferably within the mining, mineral processing, or other heavy industry sectors.
  • Proven experience working within domestic and international freight forwarding and logistics environments.
  • Demonstrated experience in expediting and materials control processes, including the monitoring of supplier performance and delivery schedules.
  • Sound understanding of end-to-end sourcing and procurement activities, from purchase order placement through to final delivery.
  • High level of computer literacy, including proficiency in Microsoft Office, Outlook, and Microsoft Teams, with the ability to implement and maintain effective operational processes.
  • Strong documentation and reporting skills, commercial acumen, and attention to detail, with the ability to produce clear and professional written communication in English.
  • Excellent organisational, analytical, and problem-solving skills, with the ability to prioritise and manage high-volume workloads in a complex project environment.
  • Strong interpersonal and cross-functional communication skills, with the ability to work collaboratively across multidisciplinary teams.
  • Fluency in written and spoken English; proficiency in additional languages would be an advantage.
  • Strong cross-cultural awareness, with the ability to establish and maintain respectful and effective working relationships with diverse internal and external stakeholders.
  • Advanced practical knowledge of ERP systems, particularly PRONTO, or other relevant procurement and materials management systems.
  • Advanced technical knowledge of supply chain logistics, materials tracking, vendor management, and purchase order lifecycle management.
  • Proven ability to engage, coordinate, and align suppliers and multidisciplinary stakeholders to achieve agreed project milestones and on-time delivery.
  • Strong negotiation, influencing, and supplier management skills, with the tenacity and judgement required to drive contractual and delivery performance.
  • A proactive, resilient, and solutions-focused mindset, with a strong commitment to achieving results in a dynamic project environment.
