Job summary

ADM Singapore, Pte. Ltd. seeks a Quality Management System (QMS) Assistant to maintain and monitor the Laboratory’s QMS, ensuring compliance with regulatory standards, international standards, and customer requirements.

The role includes audits, inspections, and updating SOPs and QualityDocs to support new procedures and audit readiness. The candidate should have a bachelor degree in Chemistry, Animal Nutrition, or related field, with 1–2 years of experience, strong GMP knowledge, audit

Qualifications

• Bachelor degree in Chemistry, Animal Nutrition, or related major.
• 1-2 years of job-related experience; animal nutrition sector is a plus.
• Good knowledge of GMP and regulatory compliance requirements.
• Hands-on experience with QMS systems and quality improvement work.
• Excellent audit management and compliance knowledge.
• Strong analytical, problem-solving, and attention to detail.
• Good organizational and record-keeping skills.
• Strong written and verbal communication; ability to report and present findings.

Responsibilities

• Plan, schedule, coordinate, conduct, and lead internal audits.
• Ensure audit activities comply with ISO principles and organizational requirements.

• Liaise with certification bodies, customers, auditors, and regulators on quality matters.
• Ensure documents are reviewed, approved, distributed, revised, archived.
• Standardize document templates, numbering, and management practices.
• Maintain and update QMS documents and support new procedures.

QMS Assistant has responsibilities to maintain & monitor the Laboratory’s Quality Management System in order to ensure any related process is complied with applicable regulatory standards, international standards, customer requirements & internal policies by ensuring inspection readiness, including execution, and follow-up of audits and inspections, maintaining and updating QMS (e.g., SOPs, QualityDocs), supporting the implementation of new procedures, etc.

Responsibilities:

• Implement and maintain the Company's Quality Management System (QMS)
• Ensure compliance with applicable quality standards
• Ensure alignment between management systems, business objectives, and customer expectations
• Plan, schedule, coordinate, conduct, and lead internal audits
• Ensure audit activities comply with ISO audit principles and organizational requirements.
• Maintain audit records and audit performance metrics.
• Maintain certification status and ensure ongoing compliance with applicable standards.
• Liaise with certification bodies, customers, auditors, and regulatory authorities regarding quality system matters
• Ensure documents are reviewed, approved, distributed, revised, retained, and archived according to established requirements.
• Standardize document templates, numbering systems, and document management practices.
• Maintaining and updating QMS (e.g., SOPs, QualityDocs) and supporting the implementation of new procedures

Requirements

• Minimum Bachelor Degree from Chemistry, Animal Nutrition, or any related major
• Have 1-2 years in job-related experiences. Have solid experiences in Animal Nutrition sector will be preferred
• Have good Knowledge of GMP and regulatory compliance requirements, along with hands-on experience in QMS systems and structured quality improvement work
• Have Excellent audit management and compliance knowledge
• Have strong analytical and problem-solving skills & attention to detail
• Have good organizational skills
• Have effective communication skills to ensure accurate record-keeping and smooth coordination with various teams
• Have strong report writing and presentation skills
• Have strong project management and organizational skills
