Kanalla is seeking an experienced Hotel Administrator to handle day-to-day administrative operations and provide close support to the Head of Finance on financial documentation, reporting, and record-keeping. Role Summary
The Hotel Administrator manages day-to-day administrative operations at Kanalla, ensuring smooth coordination between departments and providing close support to the Head of Finance on financial documentation, reporting, and record-keeping. This role is the operational backbone of the hotel's back office — keeping paperwork, vendor relations, HR admin, and compliance running smoothly so the property can focus on guest experience.
Work closely with the Head of Finance on daily cash handling reconciliation, invoicing, and expense tracking
Prepare and organize supporting documents for monthly financial reports (revenue, expenses, occupancy data)
Track and process supplier/vendor invoices and payments
Maintain petty cash records and reconcile with finance on a regular schedule
Assist with payroll administration (attendance records, leave tracking, timesheets) for finance processing
Support budget tracking by maintaining accurate records of departmental spending
Maintain hotel records: contracts, licenses, permits, and compliance documents (tourism/hospitality licensing in Indonesia)
Manage office supplies, procurement requests, and vendor coordination (non-F&B suppliers)
Organize and file guest, staff, and operational documentation (digital and physical)
Support HR admin tasks: staff contracts, onboarding paperwork, ID/work permit documentation
Coordinate communication between departments (front office, housekeeping, F&B) and management
Assist with correspondence, scheduling, and meeting coordination for the GM/ownership
Ensure filing and data are audit-ready at all times
2–4+ years in hotel administration, office management, or a similar back-office role (hospitality experience preferred)
Working knowledge of basic bookkeeping/accounting concepts (this role interfaces heavily with finance, though it is not a finance role itself)
Proficiency in Excel/Google Sheets; familiarity with hotel PMS or accounting software (e.g., QuickBooks, Xero, or similar) a plus
Strong organizational skills and attention to detail
Good written and spoken English and Bahasa Indonesia
Trustworthy and discreet when handling financial and confidential information
Ability to multitask across departments in a small, fast-paced boutique hotel environment
Central role in hotel operations with direct exposure to finance and management
Opportunity to grow into a broader operations or finance-support role as the property expands
