About the role

We are seeking a Customer Service & Admin HVAC professional to join our team in Tangerang, Banten. This is a full-time position that plays a crucial role in maintaining strong customer relationships and ensuring seamless administrative operations for our HVAC division. You will serve as a vital link between our customers and internal teams, providing exceptional support whilst managing contracts and administrative tasks. This role is essential to our operations, directly impacting customer satisfaction and the efficiency of our HVAC business unit.

Key responsibilities

• Provide responsive and professional customer service to HVAC clients, addressing inquiries, concerns, and service requests in a timely manner
• Manage and maintain customer databases and records, ensuring accurate and up-to-date information is recorded and easily accessible
• Process, review, and administer HVAC contracts, including tracking contract terms, renewal dates, and compliance requirements
• Coordinate scheduling for HVAC installations, maintenance visits, and service calls with customers and technical teams
• Prepare and distribute quotations, invoices, and other documentation related to HVAC products and services
• Handle customer complaints and escalations professionally, working with relevant departments to achieve satisfactory resolutions
• Monitor contract performance and identify opportunities for upselling or cross-selling HVAC products and services
• Maintain comprehensive records of customer interactions, transactions, and contract management activities
• Liaise with sales, technical, and logistics teams to ensure smooth operations and customer satisfaction
• Support the preparation of reports and analyse customer data to identify trends and areas for improvement

What we’re looking for

• Proven experience in customer service, ideally within HVAC, manufacturing, or technical service industries
• Strong knowledge of contracts administration, including contract terms, conditions, and compliance requirements
• Excellent communication skills, both written and verbal, with the ability to interact professionally with customers and internal stakeholders
• Proficiency in Microsoft Office applications (Word, Excel, Outlook) and experience with customer relationship management (CRM) systems
• Attention to detail with strong organisational and time management abilities
• Ability to multitask and prioritise workload in a fast-paced environment
• Problem-solving mindset with a customer-centric approach
• Fluency in Indonesian and English is essential; additional language skills are advantageous
• High school diploma or equivalent; further qualifications in business administration or customer service are preferred
• Familiarity with HVAC products, systems, or technical specifications is desirable but not essential
