Job summary

Waruna Shipping Group is seeking a motivated Crewing Executive to support crewing operations across its fleet. You will coordinate crew movements, maintain records, and ensure compliance with company policies and maritime regulations.

The role requires a Diploma/D3 or Bachelor's degree with at least 3 years in crewing administration, strong Excel skills, and on-site work based in Kelapa Gading, North Jakarta. Collaborative teamwork and attention to detail are essential for success.

Qualifications

• Diploma (D3) or Bachelor's degree in any discipline.
• Minimum 3 years as Crewing Officer/Crewing Administrator/Crewing Executive, or similar crewing role.
• Proficient in Microsoft Excel and MS Office; strong administrative and documentation skills.
• Based in Kelapa Gading, North Jakarta and able to work on-site.

Responsibilities

• Coordinate and administer crew joining, rejoining, rotation, and onboard processes.
• Manage crew sign-off, standby assignments, leave arrangements, and other crew movements.
• Maintain accurate crew records, certifications, and documentation in the crewing system.
• Prepare routine crewing reports and ensure data accuracy.
• Coordinate with vessel management, recruitment, training, payroll, and other stakeholders to deploy crew timely.
• Monitor crew schedules to support uninterrupted vessel operations and regulatory compliance.
• Ensure all crew documentation complies with company standards and maritime regulations.
• Provide administrative support for day-to-day crewing activities with high accuracy and confidentiality.

We are looking for a motivated and detail-oriented Crewing Executive to support our crewing operations and ensure the smooth administration of crew deployment across our fleet. In this role, you will play a key part in coordinating crew movements, maintaining accurate crew records, and supporting day-to-day crewing activities to ensure vessels are manned efficiently and in compliance with company and regulatory requirements.

Responsibilities

Coordinate and administer crew joining, rejoining, rotation, and on-board processes in accordance with company policies and operational requirements.

Manage crew sign-off, standby assignments, leave arrangements, and other crew movement activities.

Maintain accurate, complete, and up-to-date crew records, certifications, and documentation within the crewing system.

Prepare routine crewing reports and ensure the accuracy of crew data and documentation.

Coordinate with vessel management, recruitment, training, payroll, and other internal stakeholders to ensure timely crew deployment.

Monitor crew schedules to support uninterrupted vessel operations and compliance with manning requirements.

Ensure all crew documentation complies with company standards, flag state requirements, and applicable maritime regulations.

Provide administrative support for day-to-day crewing activities while maintaining high standards of accuracy, responsiveness, and confidentiality.

Qualifications

Minimum Diploma (D3) or Bachelor's Degree (S1) in any discipline.

Minimum 3 year of experience as a Crewing Officer, Crewing Administrator, Crewing Executive, or in a similar crewing administration role.

Proficient in Microsoft Office, especially Microsoft Excel.

Strong administrative, organizational, and documentation skills with excellent attention to detail.

Able to work effectively under pressure, prioritize multiple tasks, and meet tight operational deadlines.

Good communication and interpersonal skills with the ability to collaborate across teams and build effective working relationships.

Willing to be based in Kelapa Gading, North Jakarta.
