Job summary

PT Fata Organa Solusi, in partnership with CAC Holding Japan, seeks a Business Analyst to bridge Japanese clients and our Indonesian engineering team on AI and ML projects.

You will lead requirement definition, practice horenso and nemawashi, build consensus before meetings, and ensure precise documentation and measurable business outcomes for Japanese clients. Strong analytical, written communication, and data literacy are essential, with English fluency and experience with Japanese practices.

Qualifications

• 3+ years of experience as a Business Analyst, Systems Analyst, or in a similar role on software or digital projects.
• H hands‑on experience working with Japanese clients or within a Japanese company on IT, software, or digital projects.
• Working understanding of Japanese business practices — horenso, nemawashi, ringi-style approval, and phase-based delivery with formal documentation — and the ability to describe specific situations where you applied them
• A proven habit of questioning requirements rather than transcribing them.
• Experience writing requirement specifications, use cases, process flows, and acceptance criteria.
• Precise, well‑structured written communication suitable for formal client review.
• Comfort working with data — able to read a dataset or dashboard and ask sensible questions of it. SQL is a plus.
• Enough technical understanding to discuss system integration, APIs, and data flow credibly with engineers. You do not need to write code.

Responsibilities

• Lead requirement definition with Japanese clients, producing formal, precise documentation that the client can review, question, and approve.
• Practice horenso (報連相): Report status, share information, and consult early — with the client, the Product Manager, and the Tech Lead.
• Build consensus before commitment: Align stakeholders ahead of key meetings (nemawashi) so that formal meetings confirm decisions.
• Confirm, don’t assume: Write after-meeting confirmations when agreements are conditional or concerns raised.
• Requirement quality: Catch ambiguity, contradictions, missing edge cases, and unstated assumptions before they reach engineering.
• Process mapping: Document current and future-state workflows, including how the new system connects to the client’s systems.
• Measurable outcomes: Ensure each business goal has a baseline and a way to be measured before work begins.
• Realistic commitments on AI/ML: Work with engineers to understand what AI can reliably deliver for Japanese clients.
• Data and compliance awareness: Flag data retention or cross-border data transfer issues early.
• Acceptance and quality: Define acceptance criteria and support user acceptance testing to client expectations.
• Bridging two teams: Translate client expectations for Indonesian engineering and engineering constraints for the client.

About the Role

We deliver AI and machine learning solutions, primarily for Japanese clients. The Business Analyst is the main bridge between those clients and our engineering team in Indonesia.

Working with Japanese clients means requirements are gathered, confirmed, and approved differently from many other projects. Consensus is built before formal meetings. Decisions move through formal approval. Documentation is expected to be precise and complete. And problems are expected to be reported early, not solved quietly and announced later.

We are looking for someone who already works this way and who can help our engineering team work this way too.

What You’ll Be Doing

Requirement definition (要件定義): Lead requirement definition with Japanese clients, producing formal, precise documentation that the client can review, question, and approve.

Practice horenso (報連相): Report status, share information, and consult early — with the client, the Product Manager, and the Tech Lead. When something is at risk, it is raised immediately, not after it has become a problem.

Build consensus before commitment: Align stakeholders ahead of key meetings (nemawashi) so that formal meetings confirm decisions rather than surprise anyone.

Confirm, don’t assume: Recognise when agreement in a meeting is conditional or a concern has been raised indirectly, and confirm understanding in writing afterwards.

Requirement quality: Catch ambiguity, contradictions, missing edge cases, and unstated assumptions before they reach engineering.

Process mapping: Document current and future-state workflows, including exactly how a new system connects to the client’s existing systems.

Measurable outcomes: Make sure every business goal has a baseline and a way to be measured before work begins.

Realistic commitments on AI/ML: Work with engineers to understand what AI can reliably deliver, and keep commitments on accuracy and timelines honest — Japanese clients will hold us to them.

Data and compliance awareness: Flag requirements involving personal data, retention, or cross-border data transfer early, and bring in the right people.

Acceptance and quality: Define acceptance criteria and support user acceptance testing to the level of completeness Japanese clients expect.

Bridging two teams: Translate client expectations for our Indonesian engineering team, and engineering constraints for the client, clearly and respectfully in both directions.

What We’re Looking For

3+ years of experience as a Business Analyst, Systems Analyst, or in a similar role on software or digital projects.

Hands‑on experience working with Japanese clients or within a Japanese company on IT, software, or digital projects.

Working understanding of Japanese business practices — including horenso, nemawashi, ringi-style approval, and phase-based delivery with formal documentation — and the ability to describe specific situations where you applied them, not only what they mean.

A proven habit of questioning requirements rather than transcribing them.

Experience writing requirement specifications, use cases, process flows, and acceptance criteria.

Precise, well‑structured written communication suitable for formal client review.

Comfort working with data — able to read a dataset or dashboard and ask sensible questions of it. SQL is a plus.

Bachelor’s degree in Information Systems, Computer Science, Industrial Engineering, Business, or equivalent practical experience.

Professional English fluency (equivalent to TOEFL PBT 525+ / IELTS 5.5+ / TOEFL iBT 55+), assessed at interview.

Advantageous If

JLPT N3 or higher.

Experience living, studying, or working in Japan.

Experience on AI, machine learning, or data projects.

Familiarity with Indonesian personal data protection (UU 27/2022) or Japan’s APPI.

Experience with Jira, Confluence, Notion, Figma, or BPMN process modelling.

Background in logistics, manufacturing, or finance operations.
