Assistant Facility Manager (Data Center)
Assistant Facility Manager – Data Center supports the Facility Manager in managing daily data center facility operations, maintenance, safety, and service delivery to ensure the availability, reliability, and efficiency of critical infrastructure.
The position is responsible for coordinating facility engineers, technicians, contractors, and vendors, monitoring preventive and corrective maintenance activities, responding to facility incidents, and ensuring all work is performed in accordance with approved SOPs, safety standards, client requirements, and data center operational procedures.
Key Responsibilities
1. Data Center Facility Operations
- Support the Facility Manager in the day-to-day operation of data center facilities and critical infrastructure.
- Monitor the operational condition of critical facility systems, including:
- Electrical power systems
- UPS and battery systems
- MV/LV switchgear and distribution systems
- HVAC and cooling systems
- Chillers, CRAH/CRAC units and pumps
- Fire protection and fire alarm systems
- BMS/EPMS and environmental monitoring systems
- Water supply, drainage and other building infrastructure.
- Conduct regular facility inspections and ensure abnormal conditions are identified and escalated promptly.
- Maintain high availability and operational reliability of data center facilities.
2. Maintenance Management
- Plan, coordinate, and monitor preventive maintenance (PM), corrective maintenance (CM), and emergency maintenance activities.
- Ensure maintenance activities are performed according to approved schedules, SOPs, MOPs and EOPs.
- Review maintenance reports and verify that work has been completed properly.
- Follow up on outstanding work orders, equipment defects, and maintenance issues.
- Support root cause analysis and corrective action for recurring equipment failures.
- Maintain accurate maintenance records and equipment history.
3. Team Management
- Assist the Facility Manager in supervising Facility Engineers, Technicians and other operational personnel.
- Assign daily tasks and monitor team performance.
- Ensure adequate manpower coverage for operational requirements and emergency response.
- Provide technical guidance and coaching to facility team members.
- Monitor compliance with attendance, shift schedules, work procedures and safety requirements.
4. Critical Incident & Emergency Management
- Respond to facility-related incidents and emergencies, including power failure, cooling failure, fire alarm, water leakage and other critical infrastructure failures.
- Support incident escalation and communication with the Facility Manager and relevant stakeholders.
- Coordinate emergency response activities with internal teams, clients, building management, contractors and vendors.
- Participate in emergency drills and business continuity activities.
- Prepare incident reports, including timeline, impact, root cause and corrective actions.
- Coordinate third-party vendors and contractors for facility maintenance and project activities.
- Monitor vendor performance, work quality, safety compliance and service level agreements.
- Verify that contractors follow site access, safety and operational procedures.
- Support quotation evaluation, maintenance planning and service contract management.
- Ensure contractor activities do not negatively impact data center operations.
6. Safety & Compliance
- Ensure all facility activities comply with company HSE policies, client requirements and applicable Indonesian regulations.
- Conduct regular safety inspections and identify potential operational hazards.
- Ensure proper implementation of LOTO (Lockout/Tagout), Permit to Work (PTW) and other safety procedures where applicable.
- Ensure technicians and contractors use appropriate PPE and follow approved work procedures.
- Support investigation and reporting of facility-related safety incidents.
7. Documentation & Reporting
- Prepare daily, weekly and monthly facility operation reports.
- Maintain records of:
- Assist in preparing operational KPIs and facility performance reports for management and clients.
8. Energy & Facility Efficiency
- Monitor electricity, cooling and other facility resource consumption.
- Identify opportunities to improve energy efficiency and reduce operational costs.
- Support capacity planning for electrical and mechanical infrastructure.
- Monitor equipment performance and identify potential efficiency or reliability issues.
9. Project & Expansion Support
- Support data center fit-out, expansion, equipment installation, testing and commissioning activities.
- Coordinate with project teams, engineering teams, vendors and clients during facility modification works.
- Review technical documentation and ensure completed works are properly handed over to the operations team.
- Support testing, commissioning and operational readiness activities.
10. Client & Stakeholder Coordination
- Act as a supporting operational contact for clients regarding facility-related matters.
- Coordinate with Data Center Operations, IT, Security, HSE, Project, Engineering and other relevant teams.
- Provide timely updates regarding maintenance activities, incidents and facility conditions.
- Maintain professional communication and ensure client requirements are properly addressed.
Qualifications
Bachelor's degree or Diploma in Electrical Engineering, Mechanical Engineering, Facilities Management, Building Engineering, or related field.
Minimum 5 years of experience in facility management, building management, industrial facilities, critical facilities, or data center operations.
Minimum 2–3 years of experience in a supervisory or team-lead position is preferred.
Experience working in a Data Center, critical facility, industrial plant, commercial building, or similar mission-critical environment is highly preferred.
Strong understanding of electrical and mechanical infrastructure.
Experience with preventive and corrective maintenance management.
Experience managing technicians, contractors and vendors.
