Job summary

Bingin Villa Management seeks a hands-on automation specialist to bridge business teams and technology, focusing on AI-enabled workflows and cost reductions. You'll connect Claude and other AI tools to our existing platforms, build automated processes, and evaluate tools before procurement.

You will measure impact by hours saved and process improvements, train staff on AI best practices, and ensure safe data handling across emails, calendars, CRM, and ERP systems.

Qualifications

• 3+ years in a technical role such as software development, IT, data, technical consulting or a business analyst with hands-on technical work.
• Daily hands-on use of LLM tools (Claude, ChatGPT, Gemini) beyond casual chats.
• Experience building and running automations in production with tools like n8n, Make, Zapier, Power Automate or equivalents.
• Comfort with APIs, webhooks and JSON; basic Python or JavaScript knowledge.
• Ability to explain technical ideas to non-technical colleagues in Bahasa Indonesia and English.
• A portfolio showing automated solutions and savings achieved.

Responsibilities

• Identify automation opportunities by mapping current department workflows and prioritizing by time and cost savings.
• Build automations and AI workflows by connecting tools to systems using connectors, APIs and platforms like n8n, Make or Zapier.
• Evaluate AI/SaaS tools, run pilots, and decide whether to buy, build or drop, and optimize subscriptions.
• Measure impact by tracking hours saved, cost reductions and error rates for each automation; report monthly.
• Train colleagues to use AI effectively, create shared prompts and SOPs, and help with AI adoption.
• Ensure safe AI use by setting data handling rules, managing access, and maintaining a registry of automations.

About the role

This is not a traditional IT job. We're looking for someone who sits between our business teams and technology – someone who looks at how work actually gets done across the company, finds what's slow, manual or expensive, and fixes it with AI and automation.

You'll connect AI assistants like Claude to the tools we already use, build automated workflows, evaluate new tools before we pay for them, and help every team get real value from AI. Success is measured in hours saved, costs cut and processes that just work.

What you'll do

• Find the opportunities. Sit with each department, map how their processes work today, and identify repetitive, manual or error-prone steps. Rank them by time and cost saved versus effort to build.
• Build automations and AI workflows. Connect Claude and other AI tools to our systems (email, Google Workspace / Microsoft 365, Slack, CRM, accounting, ERP) using connectors, APIs and integration platforms such as n8n, Make or Zapier.
• Evaluate and rationalise tools. Assess AI and SaaS products, run small pilots, and recommend whether to buy, build or drop. Identify overlapping subscriptions we can cut.
• Measure impact. Track hours saved, cost reduction and error rates for every automation, and report results monthly.
• Enable the team. Train colleagues to use AI well, build shared prompt libraries and SOPs, and be the go‑to person for \"can AI help with this?\"
• Keep it safe. Set rules for what data can go into which AI tools, manage access and permissions, add human review where outputs are sensitive, and keep a register of every automation and what it touches.
• Keep it running. Monitor, fix and document what you build so the company is never dependent on one person's memory.

Your first 90 days

• Day 30: Meet every team, audit current tools and subscriptions, and deliver a ranked list of automation opportunities.
• Day 60: Ship 2–3 quick wins into daily use, with before/after numbers.
• Day 90: Present a 6-month roadmap with estimated savings, a simple AI usage policy, and run the first company-wide AI training session.

What you bring

Must have

• 3+ years in a technical role – software development, systems/IT, data, technical consulting, or a business analyst role with real hands‑on technical work.
• Deep, daily, hands‑on use of LLM tools (Claude, ChatGPT, Gemini) beyond casual chatting – projects, connectors, agents, structured prompting.
• Real automations built and running in production with n8n, Make, Zapier, Power Automate or similar.
• Comfort with APIs, webhooks and JSON; working knowledge of Python or JavaScript.
• Ability to explain technical ideas in plain language to non-technical colleagues. Fluent Bahasa Indonesia and strong English.
• A portfolio: show us things you've automated and what they saved.

Nice to have

• Experience with MCP servers, the Claude API, AI agents or retrieval (RAG) over company documents.
• Google Workspace or Microsoft 365 admin experience.
• Awareness of data security and Indonesia's Personal Data Protection Law (UU PDP No. 27/2022).

• You prefer to wait for detailed instructions rather than spot problems yourself.
