Perform day-to-day office administrative duties, including document processing, filing, and maintenance of record-keeping systems;
Handle procurement of office supplies, inventory management, and coordination of equipment maintenance to ensure adequate office resources;
Assist in processing departmental expense reimbursements and related documentation in coordination with the Finance team;
Maintain the register of fixed assets and office equipment, and conduct periodic stock-taking.
Manage and coordinate meeting room bookings, providing venue and facility support for internal and external meetings;
Assist in preparing meeting materials, consolidating agendas, and drafting meeting minutes;
Handle front desk reception duties, including answering phone calls, greeting visitors, and managing incoming/outgoing mail and courier services;
Maintain effective communication with different departments to coordinate administrative matters;
Provide logistical and administrative support for company events (e.g., annual dinners, staff activities, training sessions);
Assist with senior executives' diary management and travel arrangements.
Manage replenishment of office and pantry supplies, and ensure a well-maintained office environment;
Perform external errands, including handle cheque banking, posting, and delivery/collection of documents;
Assist in maintaining compliance documentation and filing in line with the internal control requirements of a listed company;
Perform any other duties as assigned by supervisors.
Form 5 / DSE or above; Higher Diploma or degree holder preferred;
1–3 years of relevant office administration experience; experience in a listed company or sizable organization is an advantage;
Excellent command of spoken and written English, Cantonese, and Mandarin;
Proficient in MS Word, Excel, PowerPoint, and Chinese word processing;
Responsible, detail-oriented, with strong communication and coordination skills;
Able to work independently with a service-oriented mindset and a high awareness of confidentiality.
