Responsibilities / Tasks
Workshop Planning Activities
- Coordinate with customers and internal departments within GEA to ensure visibility of all new work entering the workshop, recording it on the workshop register.
- Maintain the workshop plan for all ongoing jobs and ensure parts availability to meet schedules.
- Monitor equipment availability within the workshop plan and advise on any bottlenecks.
- Discuss weekly planning to ensure resource availability.
- Update each job's progress in the Milton Keynes workshop or other IRN locations.
- Liaise with customers regarding progress and planned return dates.
- Calculate hours and parts booked on each job, comparing to original costing by activity.
- Report on productivity and utilization using existing systems.
- Record utilization of key workshop equipment.
Workshop Administration Activities
- After handover of purchase orders, raise sales documentation.
- Process orders in SAP for internal and external suppliers.
- Submit ITAR requests for MOD jobs.
- Send return documentation, including PHD, to customers in advance of job completion.
- Organize return of exchange bowls and parts, including SMEKS repairs.
- Upload job information onto Track and Trace systems.
- File repair documents in SAP or job files.
- Process credit notes related to exchange activities.
- Arrange customs invoicing and clearance documentation.
- Authorize payments to third-party suppliers within DWP.
Goods In Administration Activities
- Maintain safety stock levels.
- Check deliveries, book into system, and prepare for dispatch or storage.
- Organize daily goods collection for shipment.
- Coordinate with workshop and service departments regarding deliveries and parts availability.
- Order consumables as needed.
- Maintain packaging materials stock.
- Ensure cleanliness and security of goods in area, including locking the store when not in use.
Your Profile / Qualifications
- Proficient in Microsoft Office, especially Excel.
- Strong analytical and organizational skills.
- Excellent communication skills.
- Legal right to work in the UK.
