Workshop Planner and Technical Administrator (Apprentice)

Workshop Planning Activities
Co-ordinate with customers and internal departments within GEA, to ensure full sight of all new work coming into the workshop and record on the workshop register.
Maintain the workshop plan for all live jobs and ensure parts are available to meet the programme.
Within the workshop plan monitor availability of equipment and advise any bottlenecks
Discuss weekly the planning to accommodate to ensure resource availability
Monitor and update each job as it progresses through the Milton Keynes workshop or any of IRN’s.
Liaise with customers on progress and planned return dates.
Post job calculation of the hours and parts booked on each job and compare to the original costing broken down by activity.
Using existing systems report on productivity and utilisation in the workshop
Record the utilisation of the key pieces of workshop equipment
Workshop Administration Activities
After handover of the Purchase order and acknowledgment to the customer raise the sale.
Process the required orders in SAP for internal and external suppliers as required for the sale.
Submit ITAR requests for MOD jobs
Where applicable send the returns documentation including PHD to the customer, ensuring it is returned in advance of the job returning to the workshop.
Organise the return of exchange bowls and parts including SMEKS for workshop repairs.
Upload job information onto the appropriate Track and Trace Application.
File all respective repairs documents in the job file / on SAP
Raise and process any credit note requirements on exchange bowl activities
Arrange customs invoicing and clearance documentation
Authorise payments for 3rd party suppliers within DWP
Goods In Administration Activities
Maintain safety stock levels
Check content of deliveries and book them into the system. Prepare them into the specific job allocation and either make ready to forward onto the relevant end receiver off site, or place in the stores in the relevant storage area
Organise and control the daily collection of goods to be shipped out
Liaise with the workshop and service departments to keep them appraised of relevant deliveries and parts availability.
Ordering of workshop and service consumables as directed
Maintain the correct level of packaging materials
General housekeeping of the goods in area, including the main shutter door area.
Ensure that the stores area is kept locked at all times when not in use and that access is only given to authorised persons
A genuine interest in engineering maintenance and installation is essential
Proficient in all Microsoft Office applications, with a strong emphasis on Excel
Excellent analytical and organisational skills
