Workshop Planner and Technical Administrator (Apprentice)

Workshop Planning Activities
- Coordinate with customers and internal departments within GEA to ensure full visibility of all new work entering the workshop and record it on the workshop register.
- Maintain the workshop plan for all active jobs and ensure parts are available to meet the schedule.
- Monitor equipment availability within the workshop plan and advise on any bottlenecks.
- Discuss weekly planning to accommodate resource availability.
- Monitor and update each job as it progresses through the Milton Keynes workshop or other IRN facilities.
- Liaise with customers regarding progress and planned return dates.
- Post-job, calculate hours and parts booked on each job and compare with the original costing, broken down by activity.
- Use existing systems to report on productivity and utilization in the workshop.
- Record the utilization of key workshop equipment.
Workshop Administration Activities
- After handover of the purchase order and acknowledgment to the customer, raise the sale.
- Process the required orders in SAP for internal and external suppliers.
- Submit ITAR requests for MOD jobs.
- Send return documentation, including PHD, to the customer, ensuring it is returned before the job returns to the workshop.
- Organize the return of exchange bowls and parts, including SMEKS for repairs.
- Upload job information onto the appropriate Track and Trace application.
- File all repair documents in the job file or on SAP.
- Raise and process credit notes for exchange bowl activities.
- Arrange customs invoicing and clearance documentation.
- Authorize payments for third-party suppliers within DWP.
Goods In Administration Activities
- Maintain safety stock levels.
- Check delivery contents and book them into the system, preparing them for forwarding or storage.
- Organize daily collections of goods for shipment.
- Liaise with workshop and service departments regarding deliveries and parts availability.
- Order workshop and service consumables as directed.
- Maintain appropriate packaging materials levels.
- Ensure the goods area is tidy and secure, with the main shutter door kept locked when not in use.
A genuine interest in engineering maintenance and installation is essential. Proficiency in all Microsoft Office applications, especially Excel, along with excellent analytical and organizational skills, is required.
