Workshop Planner and Technical Administrator (Apprentice)

Workshop Planning Activities
  1. Coordinate with customers and internal departments within GEA to ensure full visibility of all new work entering the workshop and record it on the workshop register.
  2. Maintain the workshop plan for all active jobs and ensure parts are available to meet the schedule.
  3. Monitor equipment availability within the workshop plan and advise on any bottlenecks.
  4. Discuss weekly planning to accommodate resource availability.
  5. Monitor and update each job as it progresses through the Milton Keynes workshop or other IRN facilities.
  6. Liaise with customers regarding progress and planned return dates.
  7. Post-job, calculate hours and parts booked on each job and compare with the original costing, broken down by activity.
  8. Use existing systems to report on productivity and utilization in the workshop.
  9. Record the utilization of key workshop equipment.
Workshop Administration Activities
  1. After handover of the purchase order and acknowledgment to the customer, raise the sale.
  2. Process the required orders in SAP for internal and external suppliers.
  3. Submit ITAR requests for MOD jobs.
  4. Send return documentation, including PHD, to the customer, ensuring it is returned before the job returns to the workshop.
  5. Organize the return of exchange bowls and parts, including SMEKS for repairs.
  6. Upload job information onto the appropriate Track and Trace application.
  7. File all repair documents in the job file or on SAP.
  8. Raise and process credit notes for exchange bowl activities.
  9. Arrange customs invoicing and clearance documentation.
  10. Authorize payments for third-party suppliers within DWP.
Goods In Administration Activities
  1. Maintain safety stock levels.
  2. Check delivery contents and book them into the system, preparing them for forwarding or storage.
  3. Organize daily collections of goods for shipment.
  4. Liaise with workshop and service departments regarding deliveries and parts availability.
  5. Order workshop and service consumables as directed.
  6. Maintain appropriate packaging materials levels.
  7. Ensure the goods area is tidy and secure, with the main shutter door kept locked when not in use.

A genuine interest in engineering maintenance and installation is essential. Proficiency in all Microsoft Office applications, especially Excel, along with excellent analytical and organizational skills, is required.
