Job summary

Fortem is hiring a Works Coordinator on a 1-year fixed-term contract to join our team at the Hitchin head office with travel to Cambridge as required. The role focuses on coordinating trades, sub-contractors and tenants to ensure planned works services are delivered across the Cambridgeshire region.

You will manage admin, records, and client communications, using MS Office, SharePoint, and our bespoke systems. A proactive, organised approach and strong stakeholder skills are essential.

Qualifications

  • Administrative experience with strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Able to plan, prioritise and manage multiple tasks to deadlines.
  • Proficient in MS Office and SharePoint; quick learner of bespoke systems.

Responsibilities

  • Coordinate with trades, sub-contractors and tenants to plan works.
  • Update records and manage information for the team.
  • Own administration and coordination, ensuring timeliness and compliance.
  • Prepare and maintain diaries, schedules and task lists for subcontractors.
  • Attend client meetings to share updates and progress information.
  • Escalate issues to management and provide timely status updates.

Due to continued growth and success, we have a new opportunity to join our team at Fortem on a 1-year fixed term contract as a Works Coordinator.This will be based in our Head Office in Hitchin, Hertfordshire with travel to Cambridge as requiredYou will be responsible for coordinating with a variety of trades, sub-contractors and tenants to ensure Planned works services are carried out for Social Housing properties across the Cambridgeshire region successfully.Core hours will be office-based Mon-Fri 8.00am-4.30pmPredominately based in Hitchin at least 4 days a week with 1 day in Cambridge only as required.

Cambridge Housing Society is one of our long term partnerships. We are responsible for all repairs and maintenance of their social housing properties which cover the Cambridgeshire region Head office is based in Central Cambridge and the patch includes surrounding areas from Wisbech, Royston and Haverhill. There are nearly 3,000 properties, mostly houses and flats, and we look after a range of work including Repairs, Voids, Cyclical Works and Planned workstreams We are currently rated as 4.5 on Glassdoor and 93% of staff would recommend to a friend!

Duties and Responsibilities

You will update all information and records, coordinate teams as necessary, ensuring any issues or concerns are resolved quickly and effectively and using good stakeholder/customer skillsYou will take ownership of all administration and coordination for the team successfully Working effectively to deadlines and ensuring projects are fully compliant.Proficient skills in MS office including Word and Basic Excel plus SharePointAbility to use Inhouse Bespoke Database systems (Training on this will be provided)Attending client meetings to assist on programme updates and information sharing.Ensure the works management system is kept up to date includes Job details, dates, comments, SOR codesCarrying out customer satisfaction surveys by directly phoning tenants and residents weekly and daily contact for project status updates and ensuring all residents are aware of any changesArranging post inspections to be carried out for Fortem and CHS dual sign off after the works are completedManaging diaries of relevant colleaguesPlan and schedule diaries for Subcontractors and work partners to maximise efficiency and productivityAssign all work orders onto the system to ensure they are moving through the database correctly Keeping the client & management up to date on progress of the work.Record detail accurately on our systems and associated administration to ensure real time information is available on all works programmesEnsuring you are escalating issues & providing updates, which require Management intervention or review.Updating tracker spreadsheets to ensure actions are communicated to the team effectivelyBe able to work effectively as part of a team but able to take accountability for own work

What will I need?

Essential:Administrative experience with good attention to detail Computer literate – MS Office including Word, Excel, Email - SharepointStrong written and verbal communicationExceptional organisation and planning skillsCommon sense approachTarget driven and ability to work to strict deadlinesAbility to engage people and build strong working relationshipsStrong problem solving and analytical capabilityResilience and ability to work well under pressureDesirable:Previous repairs planning experience preferableCommercial awareness & Good understanding of building maintenance
