Job Description:

Key Responsibilities

  • Assist with the delivery of support services to the office, including reception, hospitality, switchboard queries, staff welfare, office maintenance, and partner support.
  • Oversee reception, meeting rooms, and communal areas to maintain high standards.
  • Ensure safety and security of visitors and staff, understanding first aid policies and reporting incidents.
  • Manage security access passes with the security provider.
  • Coordinate meeting room requests, ensuring layout, functionality, and catering are provided.
  • Manage stock levels for stationery, refreshments, and catering within budgets.
  • Support Property & Facilities team with maintenance activities, logging jobs, and following up.
  • Handle purchase orders and invoices within budget areas.
  • Coordinate activities for new starters and leavers, ensuring proper IT and workplace setup and asset return.
  • Assist with direct deliveries queries.

Customer Service

  • Provide excellent service to clients, acting as a "go-to" person.
  • Assist with day-to-day issues, offering solutions and updates.
  • Act as a point of contact between facilities, legal support, IT, and Finance departments.
  • Collaborate to enhance client experience and meet KPIs.
  • Support team flexibility and service delivery.

Communication

  • Communicate regularly with management and staff at all levels.
  • Have knowledge of Health and Safety procedures.
  • Maintain professionalism with a positive attitude.
  • Utilize electronic systems effectively to manage tasks.
  • Suggest improvements and manage workload efficiently.
  • Work independently under pressure and as part of a team.
  • Pay attention to detail, meet deadlines, and communicate effectively.
  • Develop skills continuously and use Microsoft Office proficiently.
