Responsibilities

  • Provide administrative support to the Inpatient Unit/Centre.
  • Arrange transport, book appointments, answer calls, and maintain clinical systems.
  • Ensure admission, discharge and death documentation is complete.
  • Liaise with social services to arrange support prior to discharge.
  • Take minutes at ward meetings and assist with rota management.
  • Support the MDT with funding paperwork.
  • Maintain safe, confidential environment and assist with additional tasks.

MAIN PURPOSE

To provide administrative support to the Inpatient Unit/Centre, supporting the admission, stay, discharge and death processes.

MAIN TASKS AND RESPONSIBILITIES

  • Responsible to present a welcoming introduction to the centre and units for patients and visitors
  • Assisting in the day-to-day administration of the centre: e.g. arranging transport, booking appointments, answering the centre and unit telephones, maintaining clinical systems
  • Ensuring all relevant documentation for the admission, discharge and death of patients from the unit is in place including requesting patient records, maintaining patient lists, and the correct archiving following policy
  • Liaising with social services and key community staff to ensure all necessary support services are requested prior to discharge. They may liaise with the admissions and discharge coordinator, nurse team and therapy team to ensure all necessary support services are requested prior to discharge
  • Supporting the multi-disciplinary team with the paperwork related to the application for continuing healthcare funding
  • Following up on actions from referral meetings and taking minutes during ward meetings
  • Assisting with the rota and booking of bank and agency staff
  • In order to facilitate the safe and smooth running of the Centre, employees are expected to maintain a safe working environment, maintain service user confidentiality, and occasionally take on reasonable additional tasks to meet the needs of the service

About you

  • Experience of working in a healthcare environment
  • Working knowledge and use of clinical reporting systems
  • Working knowledge of Microsoft Office applications & minute taking
  • Able to communicate effectively verbally and in writing
  • Able to work well as part of a team
  • Able to prioritise workload
  • Able to use own initiative and know when to seek advice
