Job summary

Brainkind in Horsham is seeking a Senior Administrator to support the running of the service/unit with operational, administrative and financial effectiveness. The role involves data input, payroll support, report generation and coordinating meetings.

Responsibilities

  • Assist in running the Service/Unit/Department in terms of operational, administrative and financial effectiveness within Brainkind policies and budgets.
  • General administrative duties and handling telephone enquiries, including complex situations.
  • Input data into IT systems and produce reports; work with spreadsheets to provide accurate service activity reports; create documents using word processing and other software including clinical software.
  • Provide information to other departments to support their processes including payroll.
  • Maintain safe, secure and efficient office systems and confidential data handling.
  • Coordinate and attend meetings, take minutes, and prepare relevant paperwork in advance.
  • Be the first point of contact for visitors and assist with signing in.
  • Support payroll administration including rota inputs, leave requests, absence, and escalation to line managers.
  • Monitor agreements and contracts to ensure they are up to date.
  • Ensure funding, benefits, income and expenditure documentation for people we support is reviewed and up to date.
  • Manage input and monitoring of invoicing, petty cash, reconciliations, credit control, month-end processes and banking where required.

Senior Administrator

Location: Kerwin Court, Horsham

Salary: Up to £26,000 - £28,000 DOE pro rata per annum (Weds PM, Thurs & Fri all day)

Hours: 17 hours per week

Role Overview

To assist in the running of the Service/Unit/Department in terms of operational, administrative and financial effectiveness, within the policies determined by Brainkind and within budgets, which will be prepared locally and agreed centrally.

Key Responsibilities

  • To assist in the running of the Service/Unit/Department in terms of operational, administrative and financial effectiveness, within the policies determined by Brainkind and within budgets, which will be prepared locally and agreed centrally.
  • General administrative duties and dealing with telephone enquiries, which may entail dealing with complex situation
  • Inputting of data onto current IT systems and collecting data to produce reports as required. Working efficiently at an advanced level with spreadsheets to provide accurate reports of service activity. Producing documentation using word processing and other software including clinical software packages
  • Responsible for providing information to other departments to support their processes including payroll
  • Maintaining safe, secure and efficient office systems management and filing and to ensure safe handling of confidential data
  • Coordination and attendance of meetings, minute taking and follow up if required. Ensuring that all relevant paperwork and background papers are prepared and available in advance
  • To be the first point of contact for all visitors to the service, assisting them to ensure they have correctly signed in, and alert the relevant colleague of their arrival at the service
  • To support with the administration of the staff payroll system, to including inputting rota information, monitoring and amending staff clocking errors, administering leave requests and absence and highlighting issues and concerns to the relevant line manager in a timely manner.
  • Monitor agreements and contracts and ensure they are kept up to date
  • Ensure the people we support funding, benefits, income and expenditure are audited on admission and monitored in line with Brainkind processes with issues raised with unit management in a timely way. Ensure people we support funding documentation is regularly reviewed and all information is kept up to date
  • Manage the input and monitor of fee invoicing, petty cash, reconciliations for accounts, credit control, month end processes and banking systems for management authorisation where necessary and if required
