Job summary

Cygnet Hospital Stevenage is seeking a dedicated Ward Clerk to provide essential administrative support in a busy, secure hospital setting. The role covers ward administration, information circulation, and filing patient notes across a 37.5 hour week (Mon–Fri).

We’re looking for an organised individual with strong secretarial skills to support ward managers and the MDT. You’ll handle reports, data entry, and liaise with medical secretaries to ensure timely, accurate documentation and patient

Qualifications

  • Organised, diligent and able to strictly adhere to processes & procedures.
  • Knowledge of patient confidentiality and mental health considerations.
  • Proficient in inputting, pulling and analysing data using Excel and MS Office tools.

Responsibilities

  • Assist clinical staff in ward administration
  • Ensuring accurate recording & circulation of information
  • File all patient case notes & conduct regular audits to ensure paperwork is up to date
  • Complete all ward filing in line with Cygnet policies
  • Answer telephone, cover reception & undertake other administrative duties as required
  • Ensure that reports are submitted on time and that care plans are accurate & up to date
  • Liaise with medical secretaries to ensure timely submission of reports

Cygnet Hospital Stevenage offers a range of secure and PICU and acute mental health services for men and women in a purpose-built therapeutic environment where the focus is on maximising positive outcomes and recovery.

We are currently recruiting for a full-time Ward Clerk to provide administrative and clerical support where needed working in collaboration with staff such as Ward Managers and the MDT.

You’ll be working 37.5 hours a week, Monday to Friday in a medium secure hospital setting.

The ideal candidate will be an organised individual with excellent administrative and secretarial skills to support the efficient management of ward administrative tasks.

You’re Day-to-Day...
  • Assist clinical staff in ward administration
  • Ensuring accurate recording & circulation of information

You are...
  • Experienced in administration in a fast-paced hospital environment
  • Organised, diligent and can strictly adhere to processes & procedures
  • Knowledgeable of mental health & patient confidentiality issues
  • Skilled at inputting, pulling & analysing data using Microsoft Excel
  • Proficient in Microsoft Word, PowerPoint, etc.
  • An excellent verbal & written communicator with strong interpersonal skills
  • Able to swiftly solve problems & work under pressure without compromising quality
