Volunteer Services Business Support

Business Support provides high-quality administrative, clerical and coordination support across Voluntary Services, Heart and Soul, and the Involvement and Partnerships teams within CPFT. Reporting to the Voluntary Services Manager, the role supports the effective delivery of volunteering, participation and engagement activities through recruitment administration, database management, communications, procurement, finance support and general business administration. The post holder acts as a key point of contact for volunteers, participants, staff and stakeholders, helping to ensure efficient processes, accurate record keeping and a positive experience for all involved in the services.

Main duties of the job

Key responsibilities include supporting volunteer and participant recruitment processes, maintaining accurate databases and records, processing DBS documentation, raising purchase orders, managing expenses, coordinating communications, and providing day-to-day administrative support to service leads. The post holder will act as a first point of contact for volunteers, participants, staff and external stakeholders, ensuring enquiries are handled professionally and efficiently. They will also support the promotion of volunteering, involvement and engagement activities through newsletters, social media content, communications and events, helping to ensure the smooth and effective delivery of services across the Trust.

  7. Deliver effective customer service to staff, volunteers, participants, external stakeholders and partner organisations, using judgement to determine when matters should be escalated to the Voluntary Services Manager or other appropriate leads.
  8. Assist with the administration of volunteer and involvement partner recruitment processes, including requesting references, arranging interview dates, supporting health screening processes and undertaking DBS checks in line with Trust procedures.
  9. Maintain confidentiality at all times in accordance with Trust policies, information governance and data protection requirements.
  10. Produce and distribute the monthly Helping Hands newsletter, supporting content collation, formatting and timely circulation.
Person Specification
Education/Qualification
  • Excellent computer skills of Microsoft Office (Word, Excel, Outlook and Power Point)
  • Ability to tabulate information and input data.
Experience
  • Experience of dealing with confidential issues
  • Experience of organising and supporting meetings and events within an organisation
Knowledge & Skills
  • Excellent communication skills - oral, written and telephone.
  • Methodical and well organised
  • Proven ability to prioritise demanding workload
