Job summary

CVS Vets is seeking a Veterinary Receptionist at our Scarborough practice. You will manage incoming calls, book appointments, greet clients, handle insurance forms, and process payments with professionalism.

Hours are 40 per week (with potential for part-time consideration). Pattern is Monday–Friday 08:30–18:30, plus a Saturday rota; enjoy five weeks' annual leave, staff discounts, and an Employee Assistance Programme as part of our supportive CVS Vets team.

Qualifications

  • Previous receptionist experience is essential.
  • Experience in a veterinary setting is a bonus.
  • Strong communication skills with empathy.
  • Excellent customer service and teamwork.
  • Proficient with Microsoft Office and databases.

Responsibilities

  • Handle incoming calls and schedule appointments efficiently.
  • Answer queries by phone, email, and in person with professionalism.
  • Greet and register new clients, ensuring a welcoming reception.
  • Process and manage insurance forms.
  • Dispense medications as required.
  • Process payments accurately and efficiently.
  • Provide empathy to clients while maintaining professionalism.
  • Organise patient records using the in-house system.
  • Coordinate with other veterinary practices to address needs.
  • Handle debt and refunds communications as needed.
  • Ensure every client feels welcomed and valued.

Role Details:

Location: 156 Falsgrave Road, Scarborough, YO12 5BE

Contract: Permanent

Hours: 40 hours per week, but would be open to considering part-time applications. let us know on your application!

Shift Pattern: Monday – Friday on a varied shift pattern between 08.30 – 18.30, with a share in the Saturday 08.45 – 12.15 rota

About the Role:
  • Manage Communication: Handle incoming calls and schedule appointments efficiently
  • Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
  • Client Reception: Greet and register new clients, ensuring a warm welcome
  • Insurance Management: Process and manage insurance forms adeptly
  • Medication Distribution: Dispense medications as required
  • Financial Transactions: Process payments accurately and efficiently
  • Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
  • System Utilisation: Organise patients using the in-house system efficiently
  • Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
  • Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
  • Client Care: Above all, ensure that every client feels welcomed and valued at our practice
Who We're Looking For:
  • Previous experience as a Receptionist is a must; experience in a veterinary setting is a bonus!
  • Resilience and the ability to handle emotional situations with grace
  • Strong communication skills paired with genuine empathy
  • Outstanding customer service skills and experience with the public
  • Positive attitude and superior teamwork abilities
  • Proficiency in Microsoft Office and database systems
