Regan Veterinary Centre, part of CVS Vets, is hiring a Veterinary Receptionist to join our team in Manchester. You will manage incoming calls, book appointments and greet clients, ensuring a warm and professional welcome.

This permanent role offers 37 hours per week, with a Monday–Friday pattern and a Saturday rota. You’ll work within a supportive network of CVS Vets practices committed to putting pets first.

Qualifications

• Previous experience as a receptionist or in a demanding client-focused role.
• Ability to handle emotional situations with kindness and professionalism.
• Strong communication skills with genuine empathy.
• Outstanding customer service experience with the public.
• Positive attitude and strong teamwork abilities.

Responsabilités

• Manage incoming calls and schedule appointments efficiently.
• Respond to queries via phone, email, and in person with professionalism.
• Greet and register new clients, ensuring a welcoming environment.
• Process and manage insurance forms as needed.
• Dispense medications as required and handle payments accurately.
• Provide empathetic support to clients during distressing times.
• Organise patients using the in-house system and liaise with other practices.
• Handle debt and refunds via telephone as necessary.
• Support with additional admin tasks as required.

Location: 405 - 407 Hollinwood Avenue, New Moston, Manchester, M40 0JQ

Contract: Permanent

Hours: 37 hours per week

Shift Pattern: Monday - Friday on a varied shift pattern between 08.30 - 18.30 and a share in the Saturday 08.30 - 17.30 rota

About the Role

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and register new clients, ensuring a warm welcome
• Insurance Management: Process and manage insurance forms adeptly
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Supporting with additional administrative tasks as and when required
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For

• Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with kindness and professionalism
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
