Job summary

CVS Vets is recruiting a Veterinary Receptionist to join our Riverside Veterinary Centre team in Livingston, with duties at Armadale and Bathgate sites. The role is permanent, 38 hours per week, with a Saturday rota, and part-time options may be considered.

You will handle calls, greet clients, assist with appointments, insurance forms, and payments, while delivering compassionate client care in a busy veterinary setting.

Qualifications

  • Previous experience as a Receptionist or in a client-focused role.
  • Experience in a veterinary setting is a bonus.
  • Must be able to handle emotional situations with resilience and professionalism.
  • Strong communication skills and genuine empathy.

Responsibilities

  • Manage incoming calls and schedule appointments efficiently.
  • Respond to queries via phone, email, and in person professionally.
  • Greet and register new clients with a warm welcome.
  • Process and manage insurance forms as needed.
  • Dispense medications as required.
  • Process payments accurately and efficiently.
  • Provide empathy and support to clients during distressing times.
  • Organise patients using the in-house system.
  • Liaise with veterinary practices to address patient needs.
  • Make necessary phone calls regarding debts, belongings and refunds.
  • Ensure clients feel welcomed and valued.

Role Details:
Location:

To be based primarily at our Livingston site, but will also include cover at our Armadale and Bathgate sites too

Contract:

Permanent

Hours:

38 hours per week, but we would happily consider candidates looking for part-time hours - let us know on your application!

Shift Pattern:

Monday – Friday between 08.30 – 18.00 and a share in the Saturday 08.30 – 16.00 rota

About the Role:
  • Manage Communication: Handle incoming calls and schedule appointments efficiently

  • System Utilisation: Organise patients using the in-house system efficiently
  • Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
  • Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
  • Client Care: Above all, ensure that every client feels welcomed and valued at our practice
Who We're Looking For:
  • Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
  • Resilience and the ability to handle emotional situations with kindness and professionalism
  • Strong communication skills paired with genuine empathy
  • Outstanding customer service skills and experience with the public
  • Positive attitude and superior teamwork abilities
  • Proficiency in Microsoft Office and database systems
