Job summary

CVS Vets is seeking a Veterinary Head Receptionist to lead our reception team across Battle Flatts sites. You will oversee recruitment, rota planning, and day-to-day client interactions, ensuring a high standard of service and smooth operations across multiple practices.

The role emphasises leadership, communication, and empathy, with responsibilities spanning insurance, payments, and patient administration in a busy veterinary environment. Join a supportive CVS Vets network that puts pets first.

Qualifications

• Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
• Leadership skills would be highly desirable
• Strong communication skills paired with genuine empathy
• Proficiency in Microsoft Office and database systems

Responsibilities

• Managing the Receptionist team, including training and providing support and guidance
• Creating and managing the team rota
• Supporting with recruitment and liaising with the internal recruitment team
• Manage incoming calls and schedule appointments efficiently
• Respond to queries via phone, email, and in-person interactions with professionalism
• Greet and register new clients, ensuring a warm welcome
• Process and manage insurance forms adeptly
• Dispense medications as required
• Process payments accurately and efficiently
• Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• Organise patients using the in-house system
• Liaise with veterinary practices to address patient needs and queries
• Make necessary phone calls regarding debts, belongings, and refunds
• Ensure every client feels welcomed and valued at our practice

• Contract: Permanent
• Hours: 38.92 hours per week
• Shift Pattern: Monday - Friday on a varied shift pattern, with a share in the Weekend rota

About the Role

Day-to-day Responsibilities

• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice
