The main purpose of this position is to conduct operational planning for the vehicle fleet, enabling the client to deliver to their customers and meet the agreed SLA.
This job will be on a shift rota pattern of 4 on, 4 off, including early, mid, and night shifts.
Duties and Key Responsibilities
- Experience of Transport Operations and scheduling, along with Drivers Hours legislation, is necessary.

- Liaising effectively with Drivers, Staff, and Clients as needed.
- Handling calls, emails, and Teams messages from the Sales team regarding commercial inquiries, job specifications, availability, and quoting.
- Creating Field Technician Work Instructions/Tasks relevant to the scope of work, including equipment requirements, site access, and timings.
- Being the primary contact for all Emergency Response requests Out of Hours, maintaining a calm attitude regardless of the request's scale.
- Allocating vehicles and drivers to service delivery tasks, ensuring efficient and timely plans, and suggesting alternative strategies when needed.
- Advising clients on resource use and responses to Emergency requests Out of Hours.
- Booking accommodation, travel arrangements, and paying service charges to ensure smooth service delivery and minimize PCN charges.
- Assisting the Operational Logistics Manager with costing reports.
- Managing Out of Hours responses to Courier and Doorstep delivery requests of Bottled Water, both planned and reactive.
- Ensuring delivery planning complies with Drivers Working Time Directive and Drivers Hours regulations, supported by the Business Operations Coordinator.
- Liaising with the Transport Logistics Assistant and Field Service Managers to ensure vehicle availability for PMI, Service, and MOT tests.
- Communicating with the Transport Logistics Assistant regarding daily vehicle availability and reporting defects or issues.
- Handling customer and public complaints related to service delivery.
- Communicating confidently and effectively with all levels within the business and external organizations.
- Maintaining excellent computer skills, including Word, Excel, and PowerPoint.
- Adhering to the Health and Safety at Work Act, taking care of your own and others' health and safety, and cooperating to meet legal requirements.
- Complying with the Data Protection Act and reporting breaches.
- Performing additional duties as needed to meet business requirements.
- Having at least 2 years of HGV Transport Logistics experience (required).
