We are recruiting for a Transport Coordinator to assist the Transport Manager with the day-to-day running of the operation and ensure all legal, cost, and budgetary requirements are met, such as tachograph infringements, routes, drivers’ hours, payroll, and compliance. Responsible for briefing and de-briefing of the Driver team.
The working hours for this role are 40 hours per week over 5 days, which may include Saturdays and public holidays.
Main Responsibilities
- Route allocation, adjusting where necessary.
- Ensure routes leave the depot on time and follow up on late or no-show vehicles.
- Ensure legal, company, and statutory requirements concerning transport are adhered to, including maintaining all relevant records – driver’s hours, driver licenses, tachograph, vehicle/MHE inspection and maintenance, H&S at work, vehicle defects, safe systems of work, and risk assessments.
- Manage drivers’ hours in line with working time directive rules.
- Sign off tachograph infringements.
- Complete the DAL.
- Manage driver rosters, input payroll, agency payroll, and book holidays.
- Handle absence management and relevant paperwork.
- Liaise with agencies to cover driver/driver assistant shortfalls.
- Conduct investigations and disciplinary procedures as per the process.
- Check Driver PDA compliance after route completion.
- Manage on-route compliance and liaise with drivers for any non-compliance issues.
- Investigate PDA non-conformance issues and escalate to the Transport Manager.
- Report on performance using Microlise standards.
- Resolve failed delivery issues and liaise with couriers for deliveries/collections as needed.
- Liaise with the CAD team for store credits.
- Ensure incident/accident paperwork is completed correctly.
- Participate in depot audits.
- Serve as designated key-holder with full responsibility of the site during weekends and in the Transport Manager’s absence.
- Maintain staff training records and administer training.
- Conduct driver de-briefs.
- Perform daily/weekly stock counts and ensure returns log accuracy.
- Conduct daily briefs with colleagues.
- Act as the first point of escalation for queries.
Minimum Requirements
- Understanding of the transport environment and LGV vehicles.
- Proficiency in MS Office applications.
- Strong organizational, time management, and communication skills.
- Experience in a fast-moving logistics environment.
- Class 2 LGV Licence (desirable).
- Experience with SAP, PO raising, and invoicing.
- Knowledge of Microlise System (advantageous).
