Job summary

Overview

We are seeking a diligent and detail-oriented individual to fill a crucial role within the School of Medicine and Population Health. This position is responsible for the administration of student placements, ensuring their smooth operation and maintaining strong relationships with key stakeholders. The role involves managing student travel costs, coordinating training tariff quality assurance visits, handling financial processes (requisitions, POs, invoices), and serving as the first point of contact for GP Inbox queries.

This role is essential for ensuring compliance, timely payments, and the overall success of our medical undergraduate and postgraduate programmes.

Main Duties And Responsibilities

  • Administer the student travel cost scheme, log claims, manage payments with finance, and improve processes for efficient student reimbursement.
  • Organise training tariff visits: schedule with providers/staff, prepare documents, and inform students of meeting details via Minerva.
  • Undertake purchasing activity ensuring purchasing compliance that placement providers and students are paid in a timely manner.
  • Manage vendor database for placement providers. Requests documents, perform bank checks, liaise with providers and complete vendor setup
  • Act as first point of contact for enquiries from placement providers
  • Liaise with colleagues in the wider MBChB team and finance colleagues to plan upcoming work.
  • Undertake other activities as required to ensure that all administrative activities within the Tariff Team are carried out in a timely and efficient manner, providing cover for colleagues as required.
  • Carry out other duties, commensurate with the grade and remit of the post
