Job summary

DFDS UK & Ireland invites applications for a Terminal Services Apprentice. You will support procurement processes, vehicle administration, and general terminal tasks to ensure smooth daily operations at the Immingham terminal.

The role involves coordinating purchasing, maintaining records, assisting with financial administration, and delivering high-quality administrative support across teams. A proactive, detail-oriented mindset and strong communication are essential.

Responsibilities

  • Raise and manage purchase requisitions and orders, liaising with suppliers to ensure timely deliveries.
  • Administer vehicle processes including records, quotations, orders, service, MOT and payroll updates.
  • Provide terminal administration support: post, couriers, meeting room bookings, office supplies, switchboard and reception support.
  • Support maintenance and workshop activities by raising orders and coordinating supplier communications.
  • Prepare reports and maintain procurement, vehicle, invoice and operations records with high data accuracy.

About the role

This role provides essential administrative support across Procurement, Company Vehicle Administration, Terminal Services, and Maintenance activities, ensuring the efficient day-to-day operation of the terminal. Working closely with internal stakeholders, suppliers, contractors, and service providers, the post holder will coordinate purchasing processes, maintain accurate records, support financial administration, and help ensure compliance with company procedures while delivering a high standard of customer service.

You will be responsible for

  • Raise and manage purchase requisitions and purchase orders, follow up outstanding deliveries, resolve invoice discrepancies, and liaise with suppliers to ensure the timely provision of goods and services.
  • Administering company vehicle processes, including maintaining vehicle records, coordinating quotations and orders, arranging service, MOT and insurance requirements, and processing vehicle-related invoices and payroll updates.
  • Providing general terminal administration support, including managing post and courier services, coordinating meeting room bookings, maintaining office supplies, and delivering switchboard and reception support as required.
  • Supporting maintenance and workshop activities by raising purchase orders, administering contractor documentation, assisting with consignment stock records, and coordinating supplier communications.
  • Prepare and maintain accurate reports, records, and databases relating to procurement spend, vehicle administration, invoices, and operational activities, ensuring data accuracy and compliance with company procedures.
