Responsibilities

  • Support priority bids and RFIs, drafting and editing responses.
  • Coordinate SME inputs, perform compliance reviews and assist with final submission.
  • Review and consolidate existing bid content; develop boilerplate responses.
  • Refresh outdated material and capture high-quality content from live submissions.
  • Review and cleanse tender portal accounts and update company/contacts.
  • Remove duplicates, confirm ownership and access, establish portal register.
  • Manage vendor registrations and prequalification requirements.
  • Collate standard corporate information and identify gaps affecting submissions.
  • Ensure registrations remain current and compliant; collaborate with stakeholders.
  • Support delivery of business development objectives.

Job description

An experienced Tendering Specialist is required on a 12-week contract basis to support a significant increase in workload within the Aberdeen team of a global energy service organisation.

Working closely with business development, commercial and operational teams, the successful candidate will play a key role in supporting live bids, improving bid content and ensuring tendering processes are efficient, compliant and well organised. The role will require an immediate impact to live bids while contributing to longer-term improvements across the wider bid function.

Responsibilities will include supporting priority bids and RFIs, drafting and editing responses, coordinating subject matter expert inputs, undertaking compliance reviews and assisting with final submission activities. The successful candidate will also review and consolidate existing bid content, develop and maintain core boilerplate responses, refresh outdated material and capture high-quality content from live submissions for future use. In addition, the role will involve reviewing and cleansing tender portal accounts, updating company and contact information, removing duplicate records, confirming ownership and access permissions, and establishing a controlled portal register.

Further duties will include managing vendor registrations and prequalification requirements, collating standard corporate information, identifying gaps that could impact tender submissions and ensuring key registrations remain current and compliant. The role will require close collaboration with internal stakeholders to improve bid readiness and support the successful delivery of business development objectives.

Applicants should possess previous commercial experience within bid coordination, bid management, proposal writing and tender support, preferably within the energy sector. Strong written communication, organisational and stakeholder management skills are essential, along with the ability to manage multiple deadlines and work effectively in a fast-moving environment.
