Overview
Our client is seeking an experienced and highly organised Temporary Executive Assistant / Administrator to provide a blend of executive support and office administration. This is an excellent opportunity for someone who enjoys working in a fast-paced environment and can quickly adapt to new systems and processes.
The role is split approximately 50/50 between supporting the Manager and providing general office administration support.
Key Responsibilities
Executive Assistant Support
- Manage the Manager's diary and calendar, ensuring schedules are effectively coordinated.
- Arrange and coordinate meetings, including sending invitations and managing meeting logistics.
- Monitor and manage email inboxes, prioritising correspondence and responding where appropriate.
- Act as a key point of contact for internal and external stakeholders.
- Provide general administrative support to the Manager as required.
Administration & Office Support
- Manage incoming emails through a ticketing system, ensuring requests are allocated to the appropriate teams for action.
- Monitor ticket progress and assist with follow-up where necessary.
- Maintain accurate records and update internal systems.
- Support day-to-day office administration activities.
- Assist with document management, filing and general business support tasks.
- Collaborate with colleagues to ensure smooth operational processes.
Skills & Experience Required
- Previous experience in an Executive Assistant, Personal Assistant, Office Administrator or similar support role.
- Strong organisational and time management skills.
- Experience managing busy calendars and coordinating meetings.
- Confident handling multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- High attention to detail and ability to work independently.
Systems Experience
- HubSpot (essential)
- Microsoft Outlook (essential)
- Experience working with ticketing or workflow management systems would be advantageous.
