About the Opportunity

Major Tasks:

Community Management – Manage Community Facilities which includes administering and prioritising bookings in accordance with Service policies and procedures.

Identifying and setting up Trusted Partners ensuring that a full induction of the facilities is provided and recorded. Requirement to seek solutions to a variety of customer issues as and when required.

Responsible for providing administrative and clerical support for the management team across the delivery group, using computer software and other recording systems.

Overall Function:

Responsible for providing administrative assistance within the delivery group to include administrating and co-ordinating multiple diaries, greeting visitors, making and receiving telephone calls, managing email correspondence and minute taking in addition to other general duties.

Collate and provide statistical information for the management team and facilities management as and when required.

Responsible for monitoring and maintaining stock levels of consumable items, placing orders and confirming goods received on the electronic management system.

Develop relationships with users of our community facilities to ensure maximum benefit to both partners and the service.

Support and administer service delivery group projects and events.

Develop and maintain close working relationships with Facility Management providers and Property & Logistics, to ensure the smooth running of PFI stations.

Responsible for assisting with the co-ordination of building maintenance for premises; including monitoring contractors and ensuring Health & Safety requirements that are being complied with in accordance with Service policy.

Deputise at meetings in the absence of the Business Support Manager.

Assist personnel to research information for projects and tasks undertaken.

Maintenance of data in accordance with current legislation, including the Data Protection Act and Freedom of Information Act.

Any other duties commensurate with the grade as may be required.

At least 2 years broad experience of administrative and clerical systems

Good communication and interpersonal skills, presenting a positive image.

Proven abilities of working as a team member.

Evidence of maintaining an adaptable, flexible and responsive approach to acquiring new skills.

Computer literate i.e., Microsoft Office Suite (including Word, Excel, Outlook) and electronic management systems.

Ability to show resilience under pressure when working alone and unsupervised whilst achieving strict deadlines.

Ability to attend any station within the delivery group to work as required.

Ability to accurately record minutes and action points.

Current full driving licence.

Ability to seek solutions to problems.

Knowledge and understanding of manual handling requirements.

An understanding of customer service focused environments.
