Job Title: Team Administrator

We have an excellent opportunity for a highly organised and detail-oriented Team Administrator to support our COO and wider team. The successful candidate will provide comprehensive administrative and coordination support, including diary management, meeting scheduling, travel arrangements, event planning, and document preparation.

The role involves organising meetings, conferences, and site visits, managing catering, room bookings, and logistics. Strong PowerPoint and Excel skills are required. You will act as a central point of contact for the COO, ensuring seamless organisation of activities to keep operations running smoothly. This position is office-based at the London Gateway Terminal Building and involves collaboration across departments.

Hours

Full-time, 37.5 hours per week (Monday to Friday)

Key Responsibilities
  1. Provide administrative support to the COO, including diary management, travel coordination, and meeting preparation.
  2. Prepare reports, presentations, and briefing materials.
  3. Attend meetings to take notes, capture actions, and follow up.
  4. Maintain accurate files and handle confidential information securely.
  5. Organise meetings, including bookings, IT setup, catering, and post-meeting tasks.
  6. Coordinate travel arrangements for senior team members.
  7. Process expenses and purchase requisitions.
  8. Manage communications on behalf of the COO.
  9. Support business projects with planning and tracking.
  10. Assist in organising internal and external events and stakeholder meetings.
  11. Update communication platforms as directed.
  12. Handle ad hoc administrative and project tasks professionally.
Qualifications and Skills
  • Business Administration qualification or relevant experience.
  • Experience in an industrial/manual environment is advantageous.
  • Ability to manage high workloads and conflicting deadlines.
  • Approachable, confident team player with good communication skills.
  • Organisational skills and attention to detail.
  • Ability to collaborate and share knowledge across teams.
  • Proactive with a 'hands-on' approach and ownership of work.
  • Trustworthy with sensitive information.
  • Effective oral and written communication skills.
  • Strong time management skills.
  • Proficiency in Microsoft Word and PowerPoint.
  • English language and numerical skills.
  • Eligibility to work in the UK.
