We’re looking for a highly organised and proactive Talent Coordinator to join our team at Water Creative, working with the talent division Underwater. This is a dynamic role that supports both talent management and brand partnerships, perfect for someone with a keen interest in the influencer space and a passion for building relationships.
As a Talent Coordinator, you’ll play a key role in supporting our Talent Managers by ensuring seamless communication and execution of influencer campaigns. You’ll work with a diverse range of talent and be the go-to person for campaign logistics, helping to build strong and trusting relationships with our roster of creators.
You’ll play a key role in the day-to-day coordination of our digital talent roster, supporting everything from campaign planning and briefing, to scheduling, admin and comms. You’ll work closely with our Talent Manager to help deliver standout campaigns, maintain smooth internal processes, and ensure our talent are supported at every step.
WHAT YOU WILL DO:
Talent Coordination & Support
- Work closely with the team and Talent Director to support the day-to-day management and long-term growth of a select roster of digital talent.
- Assist in scouting, onboarding, and nurturing emerging talent in line with agency goals.
- Support contract processes, including negotiation, drafting, and execution with brands and agencies.
- Brief talent on campaign requirements and ensure timely delivery of all content and assets.
- Maintain compliance with ASA guidelines and platform-specific policies across all campaigns.
- Keep brand address book, talent decks, bios, case studies, and key stats up to date to support brand pitches and growth opportunities.
- Monitor social and cultural trends, sharing insights with the wider team and talent to inform content and growth strategy.
- Compile and share performance data, offering basic insights and recommendations for talent development.
- Manage inbound enquiries, respond to emails, sharing rate cards and talent info in a timely, professional manner.
- Proactively flag brand opportunities and assist in preparing pitches and decks for talent and campaigns.
- Support in managing any sensitive issues or reputational risks, working closely with the Talent Director to implement appropriate solutions.
- Liaise with the finance team to help track invoices, payments, and budget reconciliations for talent partnerships.
- Help build and maintain strong relationships with clients, brands, and agencies to encourage repeat opportunities and a positive agency reputation.
General Admin & Organisation
- Maintain organised records of contracts, campaign files, emails, and content approvals across all projects.
- Schedule internal and external meetings, keeping agendas and action points up to date.
- Assist with ad hoc administrative tasks across the team to ensure smooth day-to-day operations.
- Help prepare documents, presentations, and reports for internal use or client meetings.
- Keep internal tools and systems up to date, including project trackers, calendars, and contact databases.
Partnerships & Campaign Delivery
- Assist in coordinating end-to-end campaign execution from briefing and timeline management to delivery and wrap-up reporting.
- Track and manage campaign deliverables across talent, ensuring deadlines and creative standards are met.
- Act as a key liaison between talent, internal teams, and brand partners to ensure seamless communication and project flow.
- Support in managing campaign budgets and reporting, ensuring accurate tracking and documentation.
- Help collect and organise campaign analytics and performance data to assist with post-campaign reporting and insights.
- Support the creation of pitch decks and proposals for brand campaigns, aligning talent suggestions with strategic campaign goals.
THE IDEAL CANDIDATE
- 1–2 years’ experience in a similar role (assistant positions in influencer marketing, social media, or talent management preferred).
- Excellent communication, organisational, and multitasking skills.
- Highly organised and proficient in Microsoft tools, project management and Adobe, with great attention to detail.
- Ability to multitask and thrive in a fast-paced environment.
- Passion for influencer marketing, social media, and social trends.
- Knowledge of TikTok, YouTube, Instagram, and platform analytics.
- Passionate about the digital creator space, with a creative and strategic mindset being at the forefront of creator trends.
