About the Role

An exciting opportunity has arisen for a competent, dynamic and forward‑thinking support secretary with previous experience in a similar setting to join one of the busiest outpatient specialities in the Trust. The post holder will work as part of the administration team and provide cross cover during periods of staff absence within the existing team.

The role covers multiple sites including University Hospital Coventry, George Eliot Hospital, Nuneaton, the Hospital of St Cross at Rugby and the City of Coventry Healthcare Centre.

Key Responsibilities
  • Typing correspondence and documents, managing enquiry calls and emails from patients and clinical staff, booking outpatient appointments and surgery, and handling patients' records as part of general office administration duties to support the administration manager, medical secretaries and the clinical team.
  • Ensuring all relevant appointments are booked following Trust policy, keeping paperwork up to date (E‑referrals, outpatient waiting list), managing the diary, clinic coordination and responding to patient queries.
  • Maintaining an efficient administrative system: keeping documentation up to date and in an orderly fashion, reporting exceptional circumstances, collaborating with all relevant personnel, building working relationships with internal and external departments, and monitoring activity levels to optimise staff resources.
  • Assisting with the implementation and maintenance of efficient office management procedures, including time management, arrangement of correspondence and reports, and the establishment of manual and electronic documentation management systems.
  • Providing cross‑cover on a reciprocal basis, supporting team members, undertaking staff training and development as required, and supervising day‑to‑day tasks where necessary.
