Job description

Our client is a high-end Jewellery company based in Central London. They are seeking an experienced Stock Administration Specialist to oversee daily administration and process tasks, ensuring all stock procedures and audit requirements are met. The role involves supporting the administration, GIA, and Stock functions within the business. This is a unique opportunity to join a team of experts in a growing environment.

Main Responsibilities:
  1. Coordinate GIA Certification operations.
  2. Monitor stock movements, prepare and produce stock transits and passports for stores, meetings, and exhibitions.
  3. Alert management to issues with processes or stock movements.
  4. Plan and organize GIA inventory and library.
  5. Coordinate safe-transit practices with management teams.
  6. Maintain accurate inventory records.
  7. Ensure physical stock aligns with SAP information.
  8. Coordinate product passports for HQ and markets, and manage their printing and allocation based on stock movements.
  9. Ensure all items are shipped with valid passports and necessary paperwork.
  10. Verify passport accuracy, including image and pricing certificate veracity.
  11. Support disassembly processes as needed.
  12. Manage reallocation of GIA Certificates.
  13. Track disassembly logs and audits.
  14. Manage the image bank for SAP, Excel add-ins, and passports.
  15. Track studio images for white backgrounds.

The successful candidate will collaborate with IT to improve systems and team efficiency, challenge and enhance processes, and lead coordination with various teams. A background in Jewellery or Luxury is mandatory, with a passion for diamonds and gemstones highly appreciated. The candidate should be a team player, diplomatic, and capable of effective interaction with peers and senior management. This is a great opportunity to work for a highly sought-after company.
