Job description

Role: Specialist - Administration, UK (Contractor / Agency worker / Intern)

Location: 100% On-site (Teesside Power Station, Wilton, Middlesbrough)

Salary: Depends on experience

Duration: 5 months with possible extension

Report to: UK Office & Admin Manager

Eligibility: You must have completed a taught course and be eligible to work full-time with a University confirmation letter or PSW visa if applying via an internship

About the role

We seek a professional to manage our London office's daily operations. Located near St. James Park, the role requires on-site presence to handle office tasks and reception duties for visitors from customers, vendors, HQ, and sister companies.

Key responsibilities

  1. On-site admin:
  2. Manage admin budget and expenditure to ensure sound, safe operations within budget.
  3. Conduct daily inspections, oversee facility and inventory management, and liaise with admin suppliers.
  4. Develop visitor rules, manage visitor registration, meeting room bookings, access cards, and related records.
  5. Coordinate staff health & safety, travel arrangements, and visa applications.
  6. Manage accommodations and allocations for UK projects and staff.
  7. Perform ad hoc tasks as assigned.
  8. Oversee on-site vehicle management, including usage, maintenance, and registration tracking.
  9. Occasionally drive as needed.

VIP and Executive reception and events

  1. Develop rules for visitor management, including service briefing, SLA, and SOP for reception, meetings, and VIP events.
  2. Manage reception of clients and management team, organize meetings, events, and activities for business units.
  3. Enhance local service resources for food, accommodation, transportation, and recreation, ensuring quality and customer satisfaction.

Qualifications and skills

  • UK educational background, Bachelor degree or higher, in administration or management.
  • Experience in formal business settings, preferably in international companies.
  • Fluent in English and Mandarin.
  • Comfortable working on-site.
  • Responsible, positive, enthusiastic, service-oriented, and ethical.
  • Proactive problem-solver, capable of handling challenging situations.
  • Excellent organizational skills, detail-oriented, able to prioritize, work efficiently under pressure, and meet deadlines.
  • Driving license: Full UK license preferred; international license valid for less than 12 months acceptable till end of September.
