POSITION SUMMARY:
The Staffing Coordinator reports to the Payroll and Leaves Coordinator and coordinates and monitors daily staffing needs to support safe, effective, and uninterrupted program operations. This position serves as a central resource for attendance tracking, staffing coverage coordination, leave administration, and timekeeping support. The Staffing Coordinator maintains real-time awareness of staffing levels, responds to daily call-outs and vacancies, coordinates coverage to meet operational needs, and prepares staffing reports for program leadership.
This role works closely with the Payroll and Leaves team to support accurate timekeeping records, appropriate leave tracking, and timely compensation practices for employees. Through effective staffing coordination, attendance management, and workforce reporting, the Staffing Coordinator helps ensure operational continuity and workforce accountability, contributing to the overall employee experience at River Street School.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Duties/Responsibilities
Staffing Coordination and Coverage Management
- Monitor daily staffing levels and employee attendance to ensure adequate coverage across River Street Windsor.
- Receive, document, and track employee call-outs, absences, late arrivals, and other attendance-related issues.
- Coordinate staffing coverage for vacancies, call-outs, approved leave, and other staffing shortages in accordance with established policies and procedures.
- Communicate staffing needs and coverage recommendations to supervisors and program leadership.
- Maintain real-time staffing records and provide updates regarding workforce availability, as needed, throughout the day.
- Assist with identifying staffing gaps, workforce trends, and recurring coverage challenges across River Street Schools and Programs.
Attendance and Leave Administration
- Track and maintain records related to employee attendance, leave requests, and time-off usage.
- Monitor daily time-off requests to ensure appropriate documentation and approval workflows are followed.
- Review and monitor daily staff timekeeping records, including building entry and exit punches, to ensure compliance with contracted work schedules and promptly address discrepancies.
- Maintain attendance and leave-related records in accordance with organizational policies and applicable procedures.
- Generate reports on attendance patterns and trends of predictable use of benefit time, overtime utilization, and workforce coverage needs.
- Support management by maintaining accurate employee attendance documentation and collaborating in the development and implementation of proactive strategies to address anticipated attendance concerns, minimize operational disruptions, and ensure adequate staffing coverage.
Reporting and Administrative Support
- Prepare and distribute daily staffing reports summarizing attendance, vacancies, call-outs, coverage assignments, and workforce status.
- Maintain staffing databases, schedules, reports, staffing lists, and workforce records.
- Compile workforce metrics and staffing data to support operational planning and leadership decision-making.
- Assist with special projects related to workforce management, staffing processes, and operational improvements.
- Ensure confidentiality and security of employee attendance, scheduling, and payroll-related information.
- Recommend process improvements related to staffing coordination, attendance tracking, and timekeeping practices.
- Build collaborative working relationships with supervisors and employees to support workforce operations.
- Foster positive working relationships with program staff, families, school districts, and external agencies to support effective communication, coordinated services, and a positive educational environment for students.

QUALIFICATIONS:
- Associate's Degree (AA) or equivalent from two-year college or technical school, or six months to three years related experience and/or training, or equivalent combination of education and experience.
TRAVEL REQUIREMENTS
Motor Vehicle Operator's License or ability to provide transportation to meetings, trainings, and professional learning opportunities as required.
