POSITION SUMMARY
The Contract Coordinator provides administrative, project management, and operational support to River Street Schools and Programs (RSS), overseeing and coordinating the administrative and compliance functions associated with PPT meetings, IEP development, and CT-SEDS documentation management. The position ensures the accuracy, integrity, and timely completion of special education records and processes while maintaining compliance with applicable federal, state, and district requirements.
Serving as the primary point of contact and liaison between RSS, local education agencies, families, and service providers, the coordinator facilitates communication, resolves procedural issues, and supports the effective implementation of special education services. The position exercises independent judgment in managing confidential information, coordinating competing priorities, monitoring regulatory timelines, and supporting continuous improvement of systems and processes critical to delivering special education programming.
ESSENTIAL DUTIES and RESPONSIBILITIES
Duties/Responsibilities
- Monitors compliance timelines and reporting requirements related to IEPs, evaluations, PPT meetings, and CT-SEDS submissions, proactively identifying and addressing potential compliance concerns.
- Coordinates and oversees the preparation, distribution, and tracking of notices, correspondence, and related documentation to ensure timely communication with staff, families, LEAs, and external stakeholders regarding PPT meetings, IEP processes, and CT-SEDS requirements.
- Coordinates and monitors the development, management, and processing of confidential student IEPs and related documentation, ensuring timely completion, accuracy, and compliance with applicable special education regulations and district procedures.
- Participates in and supports multidisciplinary meetings and planning sessions, serving as a resource for gathering, communicating, and coordinating information necessary to support program operations and compliance requirements.
- Coordinates the planning, logistics, and implementation of program-related events, meetings, and activities, collaborating with internal and external stakeholders to ensure successful execution, with regard to contracts and billing for the provision of services.
- Maintains oversight of confidential student records, compliance documentation, and electronic files, ensuring records are accurate, current, and maintained in accordance with federal, state, and district requirements.
- Develops, prepares, and disseminates professional correspondence, reports, and documentation to facilitate communication, support decision-making, and ensure timely follow-through on program initiatives and compliance activities.
- Serves as a primary point of contact for all billing and contracting across River Street Schools and Programs.
- Acts as a liaison between district teams, LEAs, service providers, and other stakeholders, facilitating communication, resolving issues, and promoting effective coordination of IEP-related services and supports.
- Foster positive working relationships with program staff, families, school districts, and external agencies to support effective communication, coordinated services, and a positive educational environment for students.

QUALIFICATIONS
- Associate's Degree (AA) or equivalent from two-year college or technical school, or six months to three years related experience and/or training, or equivalent combination of education and experience.
- Proficiency with SPARK and SMART and other billing or financial platforms, as needed, strongly preferred.
TRAVEL REQUIREMENTS
Motor Vehicle Operator's License or ability to provide transportation to meetings, trainings, and professional learning opportunities as required.
