POSITION SUMMARY
The Administrative Assistant of Student Information at River Street Schools and Programs provides comprehensive administrative and data management support to ensure the accuracy, integrity, and confidentiality of student records and related program information. This position serves as a central resource for maintaining student data systems, coordinating compliance-related documentation and reporting, scheduling student support meetings, and supporting communication with families, school districts, and external agencies. The role requires strong organizational skills, attention to detail, and the ability to manage sensitive information while supporting the effective operation of educational programs and services for students.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties/Responsibilities
- Maintain accurate and timely student attendance records in designated student information systems, including PowerSchool and Keystone, and collaborate with nursing staff to ensure data integrity and consistency.
- Support communication with families regarding student attendance, including distributing notifications, responding to inquiries, and assisting with attendance-related follow-up activities.
- Manage and coordinate program calendars and scheduling functions, compliance-related deadlines, appointments, and program activities while resolving scheduling conflicts and prioritizing competing demands.
- Coordinate and schedule student support and service meetings, including Planning and Placement Team (PPT) meetings, ensuring adherence to established timelines, documentation requirements, and compliance deadlines.
- Enter, submit, and maintain restraint and seclusion data in CT-SEDS, Keystone, and other RSS databases in accordance with state reporting requirements and established procedures.
- Serve as the primary point of contact for the accurate entry, maintenance, verification, and updating of student information across multiple data management systems, including PowerSchool, Keystone, and other assigned platforms.
- Create, update, and maintain Fall packets for distribution to families, ensuring all required information is accurate and complete; follow up as necessary to obtain missing or incomplete information and documentation.
- Prepare, compile, validate, and submit required state and federal student data reports, including but not limited to ED-165, E-Rate surveys, Civil Rights Data Collection reports, and other mandated reporting requirements.
- Assemble and prepare student referral, enrollment, intake, and supporting documentation packets for review by program leadership and service teams.
- Submit student progress reports and related documentation into CT-SEDS and maintain compliance with reporting requirements for both Connecticut students and out-of-state student residents, including those from Massachusetts.
- Maintain records related to communications with the Department of Children and Families (DCF), Department of Developmental Services (DDS), and other authorized agencies regarding enrolled students, and respond to information requests in accordance with established protocols.
- Develop, maintain, and regularly update student rosters, classroom lists, emergency contact records, referral lists and program-specific enrollment information, including records associated with the Extended Learning Program.
- Handle confidential student, family, and personnel information with the highest level of discretion and in compliance with applicable privacy laws, regulations, and organizational policies.
- Foster positive working relationships with program staff, families, school districts, and external agencies to support effective communication, coordinated services, and a positive educational environment for students.

QUALIFICATIONS
- Associate's Degree (AA) or equivalent from two-year college or technical school, or two years related experience and/or training, or equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Drive), with the ability to create, edit, and manage documents, spreadsheets, and presentations efficiently.
