Job summary

ABB in Aberdeen is seeking a Spares Coordinator to support service sales with spare parts enquiries and coordinate the full customer supply process. You will help ensure on-time delivery, accurate invoicing, and strong customer satisfaction from our Aberdeen facility.

Responsibilities include quotations, order entry, shipping documentation, ERP data integrity, and coordinating with global teams. This hybrid role offers growth within a leading energy division and exposure to global supply chain

Responsibilities

  • Prepare quotations in line with procedures and global policies.
  • Enter customer orders and process purchase orders, ensuring quotations, FCM, delivery dates and COTD targets.
  • Manage delivery and export documentation, shipment coordination, certificates of origin and compliance.
  • Maintain ERP master data for global reporting and import/export requirements.
  • Support inventory management, goods movements and replenishment for Caspian locations.
  • Invoice delivered orders in a timely manner, resolve invoicing issues and assist with overdue payments.
  • Manage repairs, service and spares orders including RMA processes and backlog reviews.
  • Provide wider team support with imports, expediting, purchasing and shipment coordination.

Working as part of a team in our Aberdeen facility, the Spares Coordinator supports service sales with spare parts enquiries and coordinates the entire customer supply process, implementation, and execution, to achieve high-level service quality, operational efficiency, on-time delivery, order growth, and customer satisfaction.

Your Role And Responsibilities

In this role, you’ll help run what runs the world, by taking on meaningful work that drives real impact.

  • Preparing quotations in line with procedures and global policies.
  • Accurately entering customer orders and process purchase orders, ensuring compliance with quotations, FCM, delivery dates, customer requirements, and COTD targets.
  • Managing delivery and export documentation, including shipment coordination, tagging, packing, certificates of origin, and compliance with customer and import/export requirements.
  • Maintaining ERP master data in line with global reporting and import/export requirements.
  • Supporting inventory management, goods movements, and replenishment activities for Caspian locations.
  • Invoicing delivered orders in a timely manner through customer portals, resolve unmatched and disputed invoices, and support collection of overdue payments.
  • Managing repairs, service and spares orders, including the RMA process with factories, and reviewing backlog reports monthly to ensure invoicing is complete.
  • Providing wider team support with imports, expediting, purchasing activities, and shipment coordination as required.

Qualifications For The Role
  • Experience in a customer service or end-to-end order management environment, with excellent communication and listening skills.
  • A collaborative team player with a flexible and adaptable approach to work.
  • Self-motivated and proactive, with the ability to manage and prioritise workloads effectively to meet customer and business requirements.
  • Passionate about delivering exceptional customer service and building positive customer relationships.
  • Strong IT skills, including proficiency in Microsoft Office applications such as Word, Excel, and PDF tools.
  • Experience using SAP for Sales Order Processing and Purchasing activities.
  • Proven ability to plan, organise and manage multiple tasks both independently and as part of a wider team.
  • Excellent attention to detail, ensuring a consistently high level of accuracy and quality in all aspects of work.
